Position Overview:
We’re looking for a highly performing Executive Assistant to partner directly with our Chief People Officer (CPO) at Exact Medicare. This role isn’t just about calendars and inboxes. It’s about being the right hand to our CPO by keeping initiatives moving, organizing the chaos, and making sure big ideas come to life. You’ll manage schedules, coordinate meetings and events, take detailed notes, build (and sometime deliver) presentations, and often serve as the voice and proxy for the CPO. If you have a background in People Operations, love rolling up your sleeves and making things happen, and thrive on driving impact through people, we want to hear from you.
Job Duties:
- Own and manage the CPO’s schedule, priorities, and daily workflow.
- Plan and coordinate meetings, events, and team offsites, both logistics and experience.
- Take clear, actionable notes in meetings and help follow through on deliverables.
- Prepare presentations, reports, and communications on behalf of the CPO.
- Act as the proxy for the CPO in certain communications and meetings.
- Support People initiatives and projects with an eye toward execution.
- Build strong relationships across the company to ensure alignment and collaboration.
- Continuously look for ways to streamline processes and increase effectiveness.
Minimum Qualifications:
- Previous experience as an Executive Assistant or in a People Operations/HR role
- Strong organizational and time management skills with ability to juggle multiple competing priorities
- Excellent written and verbal communication skills with ability to be clear, confident, and persuasive
- High level of professionalism, discretion, and judgment
- Proven ability to anticipate needs and proactively solve problems
- Strong technical skills with tools like Microsoft Office, Google Workspace, and presentation software
- Bachelor's degree in Business Administration, Psychology, Human Resources, or related field (Preferred)
- SHRM – SCP/CP, SPHR/PHR, PMP, or other related professional certification (Preferred)
