About the role

Job Title: Administrative Coordinator
 
Position Overview: The Administrative Coordinator is essential in ensuring smooth daily operations through managing the office and administrative support for the team. This position is responsible for, but not limited to, maintaining the facilities schedule, overseeing office and program supplies, coordinating travel for remote employees, organizing company events, and providing general business administrative support to team members. Success in this role is measured by the efficiency of office operations, flawless execution of events, and the overall productivity of the supported team.
 
Key Responsibilities:
 
  • Manage and coordinate the facilities calendar, acting as the primary contact for all events held in the building to ensure smooth scheduling and communication.
  • Oversee office supplies, equipment, and facilities to ensure a well-organized and efficient work environment through effective resource management and maintenance.
  • Retrieve and distribute mail by collecting it from the PO box and office mailbox, ensuring prompt and accurate distribution to relevant recipients.
  • Manage Google voicemail by addressing and responding to voicemail messages promptly and appropriately.
  • Serve as the main contact for facilities needs and equipment maintenance, coordinating with the landlord and repair companies to address any maintenance issues or equipment needs.
  • Supervise housekeeping and landscaping services to ensure the facilities remain clean, well-maintained, and visually appealing.
  • Coordinate travel arrangements for remote employees by handling all logistics and ensuring a smooth and seamless process.
  • Plan and manage company events throughout the year, adhering to the allocated budget and ensuring successful execution.
  • Assist with employee celebrations by supporting and organizing birthday and anniversary events for staff members.
  • Manage the employee meal program by purchasing and restocking meal program food and tracking expenses to ensure budget compliance.
  • Assist the HR department with various HR-related tasks, including employee record management and policy implementation, and provide backup for payroll processing to ensure the efficient and effective operation of HR functions.
  • Handle all office communications, including calls, emails, Slack messages, and other correspondence, to facilitate effective information flow within the company.
 
Qualifications:
  • Three or more years of experience in office administration or a similar role in a fast-paced company. 
  • Previous human resources experience preferred.
  • Strong organizational skills with the ability to multitask and prioritize effectively. 
  • Excellent written and verbal communication skills. Proficiency in office software and tools, including Microsoft Office Suite and Google Workspace. 
  • Ability to handle sensitive information with discretion and maintain confidentiality. 
  • Friendly, service-oriented personality. Experience planning and overseeing large-scale events.
