Job Overview: The Accounting Manager oversees day-to-day accounting operations, ensures GAAP compliance, and manages the month-end close process in collaboration with an external accounting firm. This role owns the end-to-end billing and collections cycle, drives process automation within our subscription management platform, and serves as a cross-functional partner to ensure financial accuracy across all customer segments.
Responsibilities and Duties:
- Accounting & Month-End Close
- Collaborate with the external accounting firm to manage the month-end close process and daily accounting operations.
- Assist with month-end departmental finance reviews to ensure reporting accuracy.
- Maintain and update the company’s revenue recognition file.
- Manage state and local tax agency relationships, overseeing quarterly and annual payroll and excise tax filings.
- Invoicing & Billing Management
- Manage daily billing and invoicing operations for self-serve digital checkouts, mid-market subscriptions, and complex enterprise contracts.
- Serve as the Subject Matter Expert for the invoicing and revenue recognition platform (Maxio), developing and maintaining automated accounting procedures and reporting.
- Identify billing workflows bottlenecks and implement automation to reduce manual data entry, minimize errors, and shorten the invoicing cycle.
- Reconcile CRM data (HubSpot) against actual financial records, verifying contract details and subscription terms.
- Collections, Disputes, & Risk Management
- Design and monitor automated workflows to optimize cash flow and reduce Days Sales Outstanding while maintaining a positive customer experience.
- Establish SLAs and structured workflows for billing inquiries, serving as the escalation point for complex customer disputes.
- Leadership & Cross-Functional Collaboration
- Act as a Subject Matter Expert to the Revenue Accountant and Accounting Associate.
- Collaborate with Sales, Customer Success, Legal, and Account Directors to ensure complex contract terms, custom pricing, add-ons, and renewals are accurately translated into the billing system.
Qualifications
- Bachelor's degree required, Finance or Accounting concentration preferred
- 7 + years experience in the accounting function
- Strong GAAP knowledge
- Advanced Excel skills with working knowledge of G Suite
- Proven ability to build and maintain strong, cross-functional working relationships
- Subscription Billing Expertise: Proven experience managing invoicing within automated subscription management platforms (e.g., Maxio/Chargify, Zuora, Stripe Billing, NetSuite SuiteBilling, or Chargebee).
- Strong understanding of sales tax nexus for SaaS; experience integrating tax automation software (e.g., Avalara or Vertex) with the billing system.
- Data Literacy: Advanced Excel skills and comfort working with large data sets to reconcile billings against actual revenue recognized and deferred revenue schedules.
