Job Summary
As Production Coordinator, you’ll be a key force in driving operational excellence across our creative and production teams. This role balances logistics and people ops, ensuring systems run smoothly while team members are resourced appropriately, workloads stay manageable, and bandwidth is respected. You’ll partner closely with the Director of Production (and Production Manager) to help Flighthouse scale sustainably without compromising quality or culture.

You’ll develop your craft while assisting on sets and producing content that shapes how Gen Z connects with movies, shows, and brands online.
Responsibilities
- Assist, Director of Production and Production Manager with production from start to finish
- (i.e. permitting, props, set design, casting, call sheets, costuming, shot lists, and post production timelines)
- Track deliverables and timelines across internal and client-facing projects, ensuring all deadlines are met and stakeholders are in sync.
- Own and evolve Flighthouse’s project tracking systems (e.g. Flightcrew Weekly) across pre-pro, production, and post.
- Maintain and update production schedules, proactively flagging resourcing needs and delivery risks.
- Monitor bandwidth, workload, and task distribution across all production members to prevent burnout and optimize performance (including freelance contractors)
- Partner with team leads to assign projects based on availability, strengths, and developmental goals.
- Anticipate upcoming capacity challenges and collaborate on hiring, freelance support, or timeline adjustments when needed.
- Manage budgets, process POs/invoices, and maintain cost tracking across active campaigns. (i.e. Genius, Music Creative Services, Brand Creative Services)
- Support vendor sourcing and contracting, ensuring alignment with Flighthouse’s standards and policies
- Serve as a central liaison between creative, production, business development, and external partners.
- Attend client and label meetings, capturing action items, assigning tasks, and tracking completion.
- Translate creative needs into actionable plans and timelines for internal execution.
- Audit and refine operational workflows to improve efficiency and scalability across teams.
- Champion the development of SOPs, best practices, and internal documentation to reduce ambiguity and speed up onboarding.
- Manage team access to creative tools, platforms, and software; troubleshoot roadblocks that impact delivery. (owning Software subscriptions and renewals i.e. Adobe, Envato, Frame, Boris etc.)
- Maintain shared trackers, resource libraries, and communication tools to support a transparent, async-friendly environment.

Qualifications
- 2+ years experience in creative or production operations at a media company, agency, or studio.
- Demonstrated experience managing team workflows and resourcing across multiple projects.
- Proficiency with project management tools (e.g., Asana, Airtable) and spreadsheet fluency.
- Strong communicator with excellent organizational instincts and a knack for optimizing creative processes.
- Collaborative spirit with an understanding of both creative mindsets and business objectives.
- Passion for Gen Z culture, internet trends, and digital storytelling is a plus.
Pay Scale
- $19.23 - $21.63 per hour
- The final compensation within this range will be determined based on the candidate’s experience, skills, and overall fit for the role.
