A NOTE ON HOW TO REACH US

We're truly grateful that so many people have Foundant on their radar — it means a lot that our work resonates with others. That said, due to the high volume of direct messages and emails we receive, cold outreach isn't the preferred way to be considered for a role, and we're not able to prioritize applications submitted this way. To apply for open positions, please visit our careers page, which is the fastest and most effective route to being considered.

Role Overview

The Billing & Collections Specialist keeps our cash flow healthy by managing the billing-to-cash cycle for a portfolio of customer accounts. You’ll review and bill approved sales orders, apply client payments, follow up on past-due balances, resolve billing questions, and partner with Customer Success, Sales, and Support to keep customer relationships strong while we get paid on time.

Where You’ll Work:
  • As a remote-first workplace, we believe in offering flexibility and the freedom to work where it suits you best, while staying connected through technology. Our global network of talent is supported by physical office hubs and virtual collaboration, fostering a dynamic environment where innovation and growth thrive.
  • With office locations in Bozeman, MT, Toronto, Canada, and Dublin, Ireland, you'll be part of a globally connected team. Whether you're working remotely or from one of our office locations, you'll be contributing to a vibrant, collaborative culture focused on driving meaningful impact across the world.

What You’ll Do:
  • Review and invoice all approved sales orders in NetSuite accurately and on schedule
  • Apply incoming client payments promptly and accurately
  • Research and resolve billing disputes, short-pays, and unapplied cash, working with internal teams as needed
  • Contact customers by phone and email to collect past-due balances and secure payment commitments
  • Own every past-due account in your portfolio through resolution or escalation, reviewing AR aging daily to prioritize by balance, age, and risk
  • Document all collection activity and customer communications in the AR ticketing system
  • Escalate high-risk accounts, such as those nearing suspension per our collections policy, to the Billing & Collections Manager with a clear summary and recommendation
  • Support month-end close by reconciling AR aging to the trial balance
  • Track down the correct billing contact when invoices aren't reaching the customer, partnering with Sales and Customer Success
  • Perform other ad hoc tasks/projects related to your role as directed by the Billing & Collections Manager and/or Global Controller.

What You’ll Need:

Required

  • At least 3 years of accounts receivable, collections, or billing experience, including SaaS or subscription billing
  • Experience with an ERP system like NetSuite, Sage Intacct, or Great Plains
  • Track record of identifying the root cause of a recurring billing or collections problem and fixing it
  • Strong written and verbal communication skills, including comfort having firm but professional conversations about overdue balances
  • Solid attention to detail and accuracy with numbers
  • Intermediate Excel skills (e.g., lookups, pivot tables)
  • Ability to manage a high volume of accounts (hundreds per month) and shifting priorities
  • High school diploma or equivalent

Preferred

  • Experience with NetSuite
  • Experience with Salesforce
  • Experience with collections automation or payment portal tools
