What You’ll Do:
- You'll onboard new vendors and maintain vendor relationships.
- You'll monitor the AP inbox and download invoices from vendor online portals.
- You'll review invoices for appropriate documentation.
- You'll research invoice history for correct GL coding.
- You'll identify prepaid invoices and set amortization schedules.
- You'll identify the spend-owner for the correct approval policy for each invoice.
- You'll sync invoices from procure-to-pay to the ERP system and create payment batches weekly.
- You'll verify receipts and coding for expense reports weekly.
- You'll review expense reports for reimbursable expenses.
- You'll maintain and review all physical and virtual cards for receipts and coding.
- You'll maintain travel bookings for receipts and coding.
- You'll process expense reports for wellness benefits reimbursed through payroll.
- You'll download transactions from Wells Fargo bank accounts weekly, review AP transactions, and match entries in a procure-to-pay system.
- You'll contact vendors at the end of each month for invoice estimates for AP accruals at month-end.
- You'll maintain and reconcile A/P aging.
- You'll perform balance sheet reconciliations, maintaining and reconciling prepaid accounts and the general accrual account each month.
- You'll create 1099s yearly.
- You'll participate in the yearly audit.
- You'll assist with other ad hoc projects.
What You’ll Need:
- Bachelor’s degree in Accounting, Finance, or a related field.
- Minimum of two years of experience in Accounts Payable.
- Experience working with fully integrated accounting systems.
- Proficiency in Microsoft Excel (including pivot tables, VLOOKUPs) and financial software.
- Experience with audits and compliance requirements.
- Familiarity with Airbase and/or Intacct is a plus.
- Strong background in account reconciliations
