Operation Assistant

About the role

We are seeking an Operations Assistant to support the day-to-day execution of e-commerce and operational activities across multiple online marketplaces. This role will assist with backend system management, listing support, operational troubleshooting, and cross-functional communication to help maintain smooth business operations.

The ideal candidate is highly organized, detail-oriented, proactive, and comfortable working in a fast-paced e-commerce environment. This position requires someone who can follow workflows accurately, handle multiple tasks efficiently, and collaborate effectively with different departments to complete assigned projects and operational tasks.

Key Responsibilities

Marketplace & Backend Operations

  • Assist with product setup, listing maintenance, image uploads, and backend content updates across Amazon, TikTok Shop, Walmart, and Shopify.
  • Perform routine marketplace maintenance, including reviewing listing accuracy, monitoring images, uploading updated assets, and supporting product launch activities.
  • Monitor operational issues, platform notifications, and account health alerts, escalating concerns when appropriate.
  • Process operational tasks such as stranded inventory, removal orders, case creation, reimbursement requests, and follow-ups with marketplace support teams.
  • Execute assigned tasks in accordance with internal workflows, SOPs, and marketplace requirements.

Cross Functional Collaboration

  • Collaborate closely with operations, marketing, customer service, content, and supply teams on daily operational tasks and projects.
  • Coordinate backend updates for design projects, including product images, storefront assets, banners, and listing content across multiple marketplaces.
  • Communicate task progress, project updates, and operational issues in a timely and professional manner.
  • Support process improvement initiatives and contribute to the optimization of operational workflows.

Required Skills and Qualifications

  • Authorized to work in the U.S. without sponsorship, now or in the future.
  • Ability to work on-site at our Montclair, CA office.
  • Bachelor’s degree in Communications, Operations Management, or a related field.
  • Strong organizational skills and attention to detail, and ability to manage multiple deadlines.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Self-motivated, dependable, and able to work both independently and collaboratively.
  • Basic to intermediate proficiency in Microsoft Excel.
  • Bilingual proficiency in English and Chinese is a plus

Preferred Qualifications

  • Previous experience in e-commerce operations, administrative support, customer service, or marketplace management is preferred.
  • Familiarity with Amazon Seller Central, TikTok Shop, Walmart Marketplace, or Shopify is a plus
  • Comfortable learning new systems, operational tools, and platform workflows

Salary & Benefits

  • $21.00 – $25.00 per hour base pay + performance-based bonus
