Who You Are:

You are a strategic thinker and strong communicator who thrives in a fast-paced environment. You are highly organized and detail-oriented, with the ability to manage multiple programs simultaneously while maintaining a high level of accuracy. You bring deep experience supporting pharmaceutical or life sciences clients and understand the unique requirements, compliance considerations, and stakeholder dynamics within the industry.

 

You build strong relationships with clients, vendors, and internal teams, and are known for your collaborative approach and problem-solving mindset. You take ownership of your work, proactively identify solutions, and confidently lead programs from concept through execution.

 

About the Role:

We are seeking a Program Manager - Pharmaceutical Client Experience to lead our Pharma client programs and oversee all aspects of program strategy, planning, and execution for corporate meetings, events, and incentive trips.

 

In this role, you will partner with clients and internal teams to deliver high-quality, branded experiences while ensuring timelines, budgets, and program objectives are met. The Program Manager is responsible for managing complex program elements while maintaining exceptional client service and operational excellence.

 

Location – Traveling/Remote:

This role is fully remote, with the expectation of working within U.S. business hours. Travel is required for this role (35% or more).


Key Responsibilities:

Program & Client Management

  • Develop and maintain strong client relationships within the Pharmaceutical space, built on trust and high-quality service
  • Provide clear, consistent communication and direction to clients, internal teams, and vendor partners
  • Lead program timelines and ensure all milestones and deliverables are met

Program Planning & Execution

  • Oversee all program elements including budgeting, site selection, registration, travel, production, and onsite execution
  • Manage hotel sourcing, room blocks, and vendor partnerships
  • Coordinate across internal teams including creative, travel, production, and onsite support

Budget & Financial Management

  • Develop and manage program budgets, ensuring alignment with client expectations
  • Track cost savings and avoidance throughout the program lifecycle
  • Ensure timely and accurate final billing and reconciliations

Operational Excellence

  • Ensure all operational processes and procedures are followed
  • Manage multiple programs simultaneously while maintaining accuracy and attention to detail
  • Provide post-program evaluations, reporting, and insights to clients and internal teams

 

Qualifications and Key Skills:

      Proven experience managing programs for pharmaceutical clients

      Strong listening, written, verbal, and interpersonal communication skills

      Collaborative approach to working with internal teams and external partners

      Ability to assess client needs and recommend strategic solutions

      Strong organizational skills and attention to detail

      Ability to manage multiple priorities and meet tight deadlines

      Proven client relationship management experience

      Experience building and managing program budgets

      Willingness to travel a minimum of 35%

 

Preferred:  

      Experience managing congresses, advisory boards, speaker programs, or medical meetings

      Advanced Excel and data management skills

      Experience managing large-scale meetings, events, or incentive programs
