Transaction Operations, Success Facilitator

What you will do:
The Transaction Operations, Success Facilitator is a cross-functional expert responsible for driving operational excellence and alignment across the organization. This role serves as a centralized hub for strategic communications, training architecture, and professional mentorship, supporting multiple departments through standardized processes and real-time support in a virtual environment.


How you will make an impact:


Strategic Communications & Multi-Dept Alignment

  • Lead the strategy, design, and distribution of the weekly operations newsletter to ensure alignment across all departments.
  • Manage and post all critical communications in company chat platforms to keep all departments informed of updated guides, process changes, and announcements.
  • Utilize graphic design software and creative platforms to produce engaging visual assets for internal communications, announcements, and meeting materials.
  • Collaborate with leadership to curate and communicate key updates and success stories across the organization.

Operational Success & Process Management

  • Serve as a primary point of contact to assist with simple to complex questions as they relate to daily operations in a virtual environment.
  • Participate in User Acceptance Testing (UAT) and process improvement testing to provide insights on training and operational effectiveness.
  • Manage the scheduling, attendance tracking, and administrative support for various training programs and sessions.
  • Organize and manage documentation and digital assets, including Google Drive maintenance, to ensure accessibility and version control.

Training Architecture & Facilitation

  • Design and develop comprehensive materials, including e-learning modules, videos, and reference guides.
  • Conduct bootcamps and ongoing sessions to ensure information is effectively communicated and understood by all teams.
  • Orchestrate departmental meetings and develop comprehensive presentation materials to ensure cross-functional transparency.
  • Perform regular audits to maintain accuracy and relevance of all materials based on feedback and evolving processes.

Professional Development & Mentorship Oversight

  • Architect and integrate a high-level, phased mentorship ecosystem that transitions staff from initial onboarding through hands-on application to independent task mastery.
  • Provide strategic direction and leadership to department mentors, ensuring a unified and consistent approach to mentorship across all organizational units
  • Audit and validate the effective transfer of technical and operational knowledge across all departments to ensure organizational alignment.
  • Enforce consistent, high-quality performance evaluations to maintain rigorous standards for employee development and competency.

How you will grab our attention:

  • 1+ years of experience in a Transaction Operations role as an individual contributor.
  • In-depth knowledge and proficiency in internal and external systems, including but not limited to: Enterprise, Task Center, TRX, SkySlope, the Hub, HubSpot, LearnWorlds and the Google Suite.
  • Demonstrated ability to use graphic design and creative platforms (such as Canva) to develop professional training and communication assets.
  • Proven track record of mentoring team members, providing performance coaching, and leading departmental training or development initiatives.
  • Strong knowledge base of current operational processes and procedures with the ability to project, plan and delegate tasks with minimal supervision.
