POSITION SUMMARY: The People Strategy Coordinator supports day-to-day execution and transactional duties of the People Strategy department. This role provides hands-on coordination and administrative support across People Strategy functions, including employee data management, new hire & onboarding coordination, day-to-day employee support, and administrative coordination of MadTree's Impact and culture initiatives. They will be an avid MadTree ambassador who lives the behaviors – Connect, Grow, and Give a F*ck.

REPORTS TO: HR Manager

COMPENSATION RANGE: $19.00 — $21.00 — $24.00

WORK SCHEDULE & LOCATION: Part Time - 20-25 hours per week


ESSENTIAL DUTIES AND RESPONSIBILITIES:

HRIS & Data Management

  • Maintain accuracy and integrity of employee data in Rippling, including status changes (new hires, promotions, transfers, terminations, compensation adjustments)
  • Generate standard reports (weekly/bi-weekly/monthly) and fulfill ad-hoc data requests
  • Coordinate routine data file uploads to third-party vendors, ensuring accurate and timely transmission of employee information
  • Manage time and attendance data errors, omissions, and adjustments
  • Maintain organized digital employee files in compliance with record retention requirements

Benefits Support

  • Support the HR Manager with benefits administration tasks, including data entry for Qualifying Life Events and open enrollment processing in Rippling
  • Assist the HR Manager with benefits invoice reconciliation and enrollment accuracy audits — flag discrepancies; do not resolve independently
  • Respond to routine employee benefits questions using established guidelines; escalate non-routine, sensitive, or plan-design questions to the HR Manager

Talent Operations & Onboarding

  • Post job requisitions and conduct initial resume screenings using predefined criteria and hiring team guidance
  • Support high-volume hiring events
  • Assist and track new hire onboarding completion, I-9 verification, complete HRIS setup, and orientation time punches
  • Own the scheduling, logistics, and checklist follow-through for new hire orientation — ensure every new hire has what they need on orientation; the HR Manager owns content and the Director owns design

Communication Triage & Employee Support

  • Monitor incoming Basecamp messages directed to the People Strategy team; respond to routine inquiries in a timely fashion within established guidelines
  • Escalate non-routine, sensitive, or complex Basecamp messages to the HR Manager promptly — do not attempt to resolve employee relations, leave, or compliance questions independently
  • Maintain a warm, responsive, and professional presence in all employee-facing communication — written and in person
  • Serve as a first-contact resource for general HR administrative questions, routing employees to the right person or resource

Compliance & Documentation

  • Track LOA start and end dates in Rippling and flag upcoming dates to the HR Manager; direct LOA policy questions to the HR Manager — do not advise independently
  • Support the HR Manager in tracking required compliance documentation and key deadlines as noted in the HR / PS Calendar; flag upcoming deadlines and missing items proactively
  • Prepare documentation related to unemployment claims for HR Manager review — does not submit independently
  • Support the documentation and rollout of employee policies and procedures as directed by the HR Manager

Employee Support, Learning, and Impact

  • Provide general HR and administrative support as needed
  • Support the semi-annual performance review cycle by tracking completion progress and managing related tasks in Rippling
  • Track completion of required employee training in Rippling/LMS; pull reports and flag incomplete assignments to the HR Manager
  • Support coordination and administration of MadTree's Impact initiatives, including Let's Grow Local and B-Corp certification — assist with data collection or documentation, manage event logistics, track participation, and maintain records in related software
  • Spend a minimum of 8 hours per year volunteering (paid) for MadTree Impact initiatives




REQUIRED QUALIFICATIONS, SKILLS & ABILITIES

Education & Experience:

  • Must be at least 21 years of age or older
  • Associate's or Bachelor's degree in Human Resources, Business Administration, or related field OR 2+ years of HR administrative experience, benefits administration, or office management
  • 1+ years of hands-on experience with HRIS platforms — including data entry and report generation; experience with Rippling preferred


Technical Proficiency:

  • Proficiency with Google Workspace, Microsoft Office, and HRIS applications
  • Quick learner with new systems; comfortable troubleshooting basic technical issues and navigating multiple platforms simultaneously

  • Escalation judgement: Comfortable distinguishing routine tasks from non-routine situations; defaults to looping in the HR Manager rather than improvising on sensitive matters


PHYSICAL REQUIREMENTS:

  • Ability to sit for extended periods when conducting employee meetings, phone/video calls, benefits inquiries, and orientation sessions
  • Ability to frequently talk and hear when conducting employee meetings, phone/video calls, benefits counseling, and orientation sessions
  • Ability to occasionally lift and/or move up to 25 pounds
  • Ability to use hands and fingers to operate computer keyboard, mouse, and standard office equipment
  • Vision abilities required include close vision for reviewing detailed documentation and extended computer screen work, distance vision, and the ability to adjust focus

  • The work environment is usually that of an office, bar, restaurant, and brewery
  • This position will be located at the Oakley office with flexibility to visit other locations as needed for site support
