Location: McKinney, Texas

Position Summary

The Finance & Operations Manager serves as the operational backbone of Mission Advancement, ensuring the organization runs efficiently, accurately, and in alignment with its mission and values.

This individual owns the firm's day-to-day financial administration, business operations, compliance activities, vendor relationships, and operational systems. The Finance & Operations Manager is responsible for creating order, driving accountability, and proactively improving the processes that support our team, clients, and long-term growth.

The ideal candidate is highly organized, detail-oriented, technologically savvy, and energized by building systems that help people succeed. They are equally comfortable managing accounts receivable, coordinating vendor contracts, documenting processes, or identifying operational improvements that allow the organization to scale.

This is a high-trust, high-responsibility role that requires excellent judgment, discretion, and a commitment to excellence.

Primary Responsibilities

Financial Operations - 

Own and manage operational financial activities that support the firm's health and sustainability.

Payroll and Benefits Administration - 

Support positive employee experience through administration of payroll, benefits, and HR systems.

Business Operations and Office Management - 

Ensure the day-to-day infrastructure of the business operates effectively and efficiently.

Process Improvement and Systems Management -

Lead initiatives that improve organizational effectiveness and create scalability.

Financial Operations (35%) - Own and manage operational financial activities that support the firm's health and sustainability.

Responsibilities

  • Manage Accounts Payable (AP) processes and payment workflows
  • Manage Accounts Receivable (AR) processes, invoicing, collections support
  • Maintain transaction accuracy within QuickBooks Online
  • Monitor and reconcile company credit card expenses
  • Administer employee reimbursement processes
  • Coordinate with outsourced accounting partners regarding month-end close activities
  • Assist with annual budgeting and forecasting processes
  • Prepare and organize documentation for audits, tax filings, and other financial reporting 
  • Develop and maintain financial process documentation and internal controls
  • Provide leadership with visibility into AR and financial metrics

Success Looks Like

Accurate financial records, timely invoicing and collections, well-documented financial processes, and smooth collaboration with accounting partners.

Payroll & Benefits Administration (15%) - Support a positive employee experience through thoughtful administration of benefits and HR systems.

Responsibilities

  • Process biweekly payroll
  • Manage benefit enrollments, changes, and annual renewals
  • Maintain employee records and system accuracy within Rippling
  • Support onboarding and offboarding processes
  • Support compliance reporting and required employment documentation
  • Assist with employee communications related to benefits and operational policies
  • Maintain HR and benefits process documentation

Success Looks Like

Employees are paid accurately and on time, seamless employee onboarding and offboarding, accurate employee records, strong compliance and documentation practices.

Operations & Office Management (35%) - Ensure the day-to-day infrastructure of the business operates effectively and efficiently.

Responsibilities

  • Manage relationships with office, technology, and business service vendors
  • Coordinate office operations, facilities needs, and building-related matters
  • Track and manage company subscriptions and recurring contracts
  • Maintain business licenses, registrations, annual filings, and compliance requirements
  • Coordinate equipment, technology, and operational asset management
  • Manage vendor renewals and contract administration
  • Maintain operational records and business documentation
  • Support planning and logistics for company meetings and events
  • Ensure operational continuity through process documentation and knowledge management

Success Looks Like

No missed registrations or compliance deadlines, strong vendor relationships, organized business records, efficient and reliable office operations.

Process Improvement & Systems Management (15%) - Lead initiatives that improve organizational effectiveness and create scalability.

Responsibilities

  • Identify opportunities to improve operational efficiency
  • Document and standardize key business processes
  • Maintain operational dashboards and reporting systems
  • Support EOS scorecards and company accountability systems
  • Recommend process, technology, and workflow improvements
  • Partner with leadership to improve organizational systems and effectiveness
  • Support implementation and optimization of platforms such as Rippling, QuickBooks, Microsoft 365, Teamwork, and other business applications
  • Build processes that allow Mission Advancement to scale while maintaining exceptional employee and client experiences

Reduced administrative burden on leadership, increased organizational efficiency, well-documented workflows, and improved adoption of operational systems.

Required Qualifications

  • 5+ years of experience in operations, finance, business administration, or related roles
  • Experience managing AP and AR functions
  • Exceptional organizational and project management skills
  • Ability to manage multiple priorities and deadlines simultaneously
  • Strong written and verbal communication skills
  • High attention to detail and accuracy
  • Strong technology aptitude and system administration experience
  • Ability to maintain confidentiality and exercise sound judgment

Preferred Qualifications

  • Rippling administration experience
  • Benefits administration experience
  • QuickBooks Online experience
  • Professional services or consulting industry experience
  • Experience coordinating outsourced accounting or HR partners
  • Experience managing vendor relationships and contracts
