Summary

The Business Affairs Coordinator is a dynamic, hybrid role combining rigorous paralegal-style document management with high-level administrative coordination. Operating within the Business Affairs and Legal team, this individual will not only manage their own workload but will actively assist in organizing, prioritizing, and streamlining the team's day-to-day data pipelines. 

Working closely with the CBO, Director and Sr. Manager, they will ensure the rapid, flawless entry of contract details and the archival of contractual digital assets within Nettwerk’s proprietary Rights Management System (Nettwerk Central). Additionally, they will play a vital role in copyright management, publishing registrations, and contract execution. 

Responsibilities

Workflow Coordination

  • Workload Organization: Act as a traffic controller for incoming legal documentation, organizing and prioritizing files to optimize team capacity and ensure no deadlines are missed. 
  • Agreement Ingestion & Tracking: Monitor, track, and audit the lifecycle of contracts, deal memos, and licenses. Maintain up-to-date legal registries and company databases. 
  • Agreement Execution: Liaise directly with department leads to guide supplemental agreements smoothly through the internal and external execution process. 


Data Management & Client Communication

  • Data Entry & Auditing: Execute precise data entry of intricate contract details, metadata, and financial terms into company databases. 
  • Client Relations: Serve as an approachable, professional point of contact for external clients and managers regarding agreement statuses. Proactively follow up to gather missing assets, Letters of Direction, or payee details. 


General Department Support

  • Actively liaise and communicate relevant updates, legal statuses, and documentation requirements to other internal Nettwerk teams (e.g., Marketing, Synch, Digital Operations, and A&R) to ensure organizational alignment. 
  • Provide additional support, administrative coverage, and assistance to the legal and business affairs teams as required. 


Requirements

Must Have Qualifications 

  • Experience: At least 2-3 years of experience in a legal assistant, business affairs, music industry related coordinator or high-volume administration environment. 
  • Organizational Mastery: Exceptional organizational skills, laser-sharp attention to detail, and a proven ability to organize workloads for both yourself and a broader team. 
  • Communication: Flawless verbal and written communication skills with a natural ability to build interpersonal relationships. 
  • Technical Proficiency: Highly proficient in Microsoft Office (specifically Word and Excel), and/or Google Workspace, with a proven capacity to adapt instantly to proprietary software and digital systems. 
  • Mindset: A collaborative, positive, and enthusiastic attitude with the agility to pivot quickly in a fast-paced environment. 


Nice To Have Qualifications 

  • Legal Literacy: Solid experience reading, interpreting, and summarizing legal terminology and music industry agreements. 
  • Industry Knowledge: Prior experience within a record label, music publisher, or entertainment law firm, with an understanding of copyright law and record label structures. 
  • Modern Toolkit: Familiarity with collaborative platforms and communication tools such as Trello, Slack, Google Drive, Box.com, and digital signature software.
