Role Overview
Netwrix is seeking a commercially focused Procurement Analyst to bring rigorous financial discipline to how we evaluate, negotiate, and manage software and technology vendor relationships / commitments. This is a newly created role designed to complement our existing legal-led procurement function: while our Legal team focuses on contract terms and compliance, you will be the financial conscience of every software purchase — challenging necessity, driving commercial outcomes, and protecting the company's spend.

Reporting to the CIO, sitting under the broader Finance function, and working closely with the Legal organization, you will have direct access to leadership.

This role is based in Kraków and will follow a hybrid working model. Given our US headquarters and the nature of vendor negotiations, you should expect to be available for calls between approximately 3:00 PM – 6:00 PM CET on most working days to overlap with Eastern Time business hours. Occasional flexibility outside these hours may be required for significant negotiations or time-sensitive matters.


Key Responsibilities

Commercial Negotiation & Vendor Management

• Lead price negotiations for all software, renewals, and true-ups, securing the best commercial outcomes for Netwrix.

• Benchmark vendor pricing against market rates and comparable deals; challenge list pricing as a matter of routine.

• Work with IT to identify consolidation opportunities across the software portfolio to reduce duplication and total spend.

Demand Validation & Business Challenge

• Act as the first point of review for all software purchase requests, applying a structured needs-assessment before any procurement activity begins.

• Challenge requestors on scope, scale, and timing — distinguishing between genuine business needs and wants.

• Work with IT to assess whether existing licensed tools can meet a stated need before approving new vendor engagements

Financial Analysis & Reporting

• Own the software spend tracker and provide regular reporting to Finance and IT leadership on committed, forecast, and actual software costs.

• Model total cost of ownership (TCO) for significant purchases, including implementation, integration, training, and renewal uplift.

• Identify and report on savings achieved versus initial quotes or prior-period spend.

• Contribute to annual budgeting and reforecasting for the IT/software cost lines.

Legal & Compliance Collaboration

• Work closely with the Legal team member managing procurement to ensure commercial terms and legal terms are addressed in parallel, not sequentially.

• Own the commercial schedule or order form; hand off master agreement, data processing, and IP clauses to Legal.

• Collaborate on CLM processes and procurement workflows.

Process & Governance

• Define and maintain the software procurement policy and intake process, ensuring consistent application across all business units.

• Establish approval workflows and spend authority matrices in collaboration with Finance and the CIO.

• Support compliance with any relevant regulatory or audit requirements relating to vendor due diligence.


Required Qualifications

• 3–6 years of experience in procurement, commercial finance, or a vendor management role.

• Demonstrable track record of negotiating meaningful savings on software contracts.

• Strong financial analysis skills; comfortable building business cases, TCO models, and spend dashboards.

• Ability to constructively challenge stakeholders at all levels to a defined process / results-orientation.

• Experience working cross-functionally, particularly alongside Legal and IT counterparts.

• Excellent written and verbal communication skills in English - comfortable working with US-based colleagues.

Preferred Qualifications

• Familiarity with software asset management (SAM) tools or IT asset management practices.

• Exposure to US-headquartered companies or experience navigating cross-border procurement.
