Post Production Coordinator

Overview

We’re looking for a highly organized, creatively fluent Post Production Coordinator to support and manage post-production workflows across a wide range of advertising and branded content projects. This role sits at the center of internal and external post-production operations — coordinating editors, managing assets and schedules, maintaining server and studio organization, and ensuring projects move smoothly from kickoff through final delivery.

The ideal candidate brings a deep understanding of post-production workflows, and a calm, solutions-oriented approach to managing multiple projects at once. You’ll work closely with Producers, Creative teams, internal editors, and external partners to keep work moving efficiently, accurately, and at a high creative standard. This role requires someone who’s excited about the opportunity to build and mold a scaling post production department. You’ll be responsible for internal post production workflows, internal server org/maintenance, and management of our internal studio space + equipment.

Key Responsibilities

Post-Production Coordination & Workflow Management

  • Serve as the primary point of coordination for internal and external post-production projects
  • Track timelines, deliverables, revisions, approvals, and final deliveries across multiple workstreams
  • Maintain accurate project trackers, schedules, and status reports
  • Triage, prioritize, and schedule incoming edit requests based on scope, urgency, and deadlines
  • Flag risks, bottlenecks, and dependencies early and proactively propose solutions
  • Ensure and manage consistent workflows, pipeline standards, naming conventions, and versioning practices

Internal Editor & Team Management

  • Manage day-to-day workflows for internal editors, including task assignments and scheduling
  • Coordinate reviews, feedback sessions, and approvals with Producers and Creative teams
  • Ensure editors have clear briefs, references, assets, and technical requirements
  • Support scheduling visibility, including coverage planning and time-off coordination
  • Help onboard freelance editors or additional post-production support as needed

External Partner Collaboration

  • Coordinate with freelance editors, animators, colorists, sound designers, and post-production vendors
  • Support Creative Directors and Producers in briefing external partners with clear creative and technical direction
  • Track outsourced work, review deliverables, and manage revision cycles
  • Quality-check external work to ensure consistency with creative intent, brand standards, and technical specs

Asset, Server & Documentation Management

  • Maintain organized internal server structures, file systems, and asset libraries
  • Ensure proper archiving, version control, and long-term asset management
  • Own post-production documentation, workflows, and process guides
  • Support accurate handoff and wrap procedures for completed projects

Internal Studio & Production Support

  • Manage the agency’s internal production studio and post-production workspace
  • Organize, track, and maintain camera gear, production equipment, and studio supplies
  • Coordinate internal shoots, equipment checkout, and basic studio logistics
  • Assist with internal production operations and occasionally attend or support shoots as needed

 Qualifications

  • 3+ years of experience in post-production coordination, creative operations, or post-production workflows
  • Experience supporting commercial, brand, or visually driven creative work
  • Strong understanding of post-production pipelines, editorial workflows, and asset management
  • Proven ability to manage multiple projects simultaneously in a fast-paced environment
  • Exceptional organizational skills and attention to detail
  • Clear, confident written and verbal communication skills
  • Experience working with internal teams and external freelance partners
  • Proficiency with production tracking and workflow tools
  • Working knowledge of Adobe Creative Cloud (Premiere Pro, After Effects); hands-on editing experience a plus
  • Familiarity with post-production formats, deliverables, and best practices across platforms
  • Knowledge and curiosity in new/developing AI tools and solutions

Nice to Have

  • Background in art, design, film, animation, or a related visual discipline
  • Comfort supporting shoots or short-form content capture when needed
