About the role

The Import and Export Manager is a pivotal role responsible for driving the end-to-end execution of ocean export operations while maintaining rigorous adherence to international trade regulations and Malaysian Customs laws. Serving as the operational link between internal teams, freight forwarders, 3PL partners, and government agencies like MITI, this position ensures that high-volume export shipments move seamlessly from initial booking through to final delivery, complete with accurate billing, trade certifications, and tax exemptions.

Key Responsibilities

  • Manage and coordinate ocean export shipments from initial booking through to final delivery, ensuring all documentation and procedures comply with international regulations
  • Liaise with internal stakeholder and vendor to obtain shipping instructions, arrange space bookings with shipping lines, and confirm shipment details
  • Handle Certificate of Origin (COO) applications, including Form E, and other applicable trade certifications.
  • Prepare and submit Certificates of Origin (COO) and other trade-related documentation to relevant authorities such as MITI.
  • Process SST exemption certificate applications and maintain related documentation and reporting for export shipments.
  • Ensure full compliance with Malaysian Customs regulations, import/export licensing, and international trade requirements (e.g. Incoterms, HS codes, certificates of origin, free trade agreements).
  • Prepare, review, and verify shipping documentation, including Bills of Lading, Commercial Invoices, Packing Lists, Certificates of Origin (COO), Insurance Documents, Consignment Notes, and customs declarations.
  • Monitor shipment progress and provide timely updates to internal stakeholder regarding departure, in-transit status, and arrival information
  • Coordinate with 3PL, freight forwarder, customs brokers, and logistics partners to ensure efficient cargo handling and clearance
  • Manage shipment costing, prepare quotations, and ensure accurate billing and invoicing processes
  • Handle commercial enquiries and resolve operational issues promptly.
  • Contribute to continuous improvement of operational processes and efficiency standards
  • Willingness to undertake additional logistics tasks and trade-related responsibilities as required. 

Qualifications

  • Proven 6 years and above experience in ocean export operations, freight forwarding, or a related role within the shipping and logistics industry, at least 1 year experience in managerial role
  • Knowledge of international shipping procedures, documentation requirements, and customs regulations
  • Comprehensive knowledge of Malaysia customs regulations, import/export policies, and compliance standards. Ability to effectively communicate and coordinate with Malaysia Customs, inspection, and quarantine authorities. Strong knowledge of HS code classification, Certificate of Origin, international trade practices, and customs laws & regulations.
  • Excellent organizational and time management skills with the ability to handle multiple shipments simultaneously
  • Proficiency in leveraging artificial intelligence tools and a proactive commitment to collaborating with the development team to streamline and automate operational workflows
  • Proficiency in Microsoft Office applications
  • Good communication skills, both written and verbal, with the ability to liaise effectively with international partners
  • Attention to detail and accuracy in documentation and data entry
  • Problem-solving abilities and the capacity to work independently as well as collaboratively within a team
  • Diploma or degree in logistics, supply chain management, or a related field is preferred
  • English is required; additional languages such as Mandarin or Bahasa Melayu is an advantage
  • Familiarity with SST, MITI, and MIDA processes is an advantage
