
General Overview
The Coordinator of Logistics and Training Administration is an operations role responsible for planning, delivering, and continuously improving Sigma Chi Leadership Institute learning programs. Working closely with the Institute’s learning management system and its learners, facilitators, volunteers, and partners, this role coordinates the administrative, logistical, and technology-enabled processes that make high-quality learning experiences possible. The ideal candidate combines strong project management discipline, exceptional attention to detail, a service-oriented approach to stakeholders, and an emerging or established understanding of learning technology.
Responsibilities
Training Logistics and Program Operations
• Coordinate logistics for virtual, hybrid, and in-person learning programs, including schedules, rosters, materials, communications, facilitator support, learner access, and post-program follow-up.
• Develop and maintain repeatable workflows, checklists, timelines, and quality-control processes that improve consistency across programs.
• Anticipate operational risks, identify dependencies, and proactively resolve issues that could affect learner experience or program delivery.
• Maintain accurate learner records, attendance data, completion documentation, and program files in alignment with Institute standards and accreditation expectations.
Learning Management System and Learner Experience
• Work with the Sigma Chi Fraternity IT department and the customer-facing side of the learning management system to establish program workflows, and to support learner enrollment, course access, completion tracking, reporting, and user support.
• Assist with course setup, learner assignments, learning paths, certificates, badges, surveys, and system-based program communications; monitor LMS data quality and escalate complex technical needs to internal or vendor partners.
• Prepare clear, timely, branded learner communications, and support registration, onboarding, reminders, and follow-up before, during, and after learning experiences.
• Support faculty, facilitators, volunteers, staff, and external partners with timely information, materials, and administrative guidance.
Strategic Coordination and Continuous Improvement
• Partner with Institute leadership and program owners to align logistics and administration with strategic goals, learner outcomes, accreditation requirements, and stakeholder expectations.
• Use learner and stakeholder feedback to identify patterns in operational challenges and recommend scalable improvements to processes, tools, and participant support.
• Contribute to documentation, standard operating procedures, and process maps that build institutional knowledge and operational resilience.
Education and Experiential Requirements
• Bachelor’s degree or equivalent combination of education and relevant professional experience.
• Experience coordinating complex programs, trainings, events, learning initiatives, volunteer operations, association programs, higher education activities, or related administrative functions.
• Strong project management, organization, time-management, and follow-through skills.
• Excellent written and verbal communication skills, with the ability to support a wide range of internal and external stakeholders.
• Comfortable working with digital systems, spreadsheets, shared files, learner or member databases, and reporting tools.
• Demonstrated ability to manage multiple priorities while maintaining accuracy, confidentiality, and professionalism.
Preferred Qualifications
• Experience with a learning management system, learning experience platform, association management system, CRM, or comparable learner-facing technology.
• Familiarity with adult learning, leadership development, fraternity and sorority life, nonprofit education, or membership-based learning programs.
• Experience supporting facilitators, faculty, volunteers, subject matter experts, or external training partners.
• Interest in using technology, data, and process improvement to make learning experiences more accessible, consistent, and impactful.
Physical Demands
• While performing the duties of this position, the employee is frequently required to sit, communicate, reach, and manipulate objects, tools, or controls. Manual dexterity and coordination are required for more than 50 percent of the work period while operating equipment such as computer keyboard, mouse, and similar machines.
• Being able to lift, carry, and move packages, program materials, and equipment weighing up to 50 pounds.
Working Hours and Conditions
• Chicago area residence is preferred but not required.
• Typical office hours are 8:30 a.m. to 5 p.m. Monday through Friday. Must be willing to work extended hours during peak business times.
• The office culture is relaxed and open-minded about regular change and growth.
• Some evening, weekend, overnight, or extended travel commitments may be required depending on program schedules and major Institute initiatives.
