As our project volume continues to grow, we are looking for a highly organized and proactive Scheduling to support the successful planning and execution of installations, inspections, and utility interconnections. This role plays a critical part in ensuring projects move efficiently through each phase while maintaining clear communication between internal teams, customers, and external partners.

The Role

As a Scheduling specialist, you will be responsible for managing and coordinating project schedules across Terra Energy's installation lifecycle. You will work closely with Project Managers, Engineering, Field Service, Customer Service, utility companies, inspectors, and local jurisdictions to ensure project milestones are scheduled and completed on time.

This role requires exceptional organizational skills, strong communication abilities, and the capacity to manage multiple projects simultaneously while maintaining accuracy and attention to detail.

What You’ll Be Doing

  • Create, maintain, and update project schedules for solar installations, inspections, and utility interconnection activities.
  • Coordinate with internal teams to confirm project readiness and resource availability before scheduling activities.
  • Communicate with city offices, inspectors, utility companies, and subcontractors to secure and confirm appointment dates.
  • Monitor project timelines and proactively identify potential scheduling conflicts, delays, or bottlenecks.
  • Track and update project progress within internal systems and project management platforms.
  • Generate scheduling reports and provide updates to Project Managers and key stakeholders.
  • Serve as a central point of contact for scheduling-related inquiries from internal teams and external partners.
  • Communicate schedule confirmations, updates, and changes to customers and field teams.
  • Escalate scheduling challenges, delays, or recurring issues to leadership when appropriate.
  • Support continuous improvement efforts by identifying opportunities to enhance scheduling workflows and operational efficiency.
  • Maintain accurate records and documentation to ensure visibility across departments.


What We’re Looking For

Required Qualifications

  • 2+ years of experience in scheduling, project coordination, operations support, permitting, construction administration, or a related field.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Experience coordinating multiple stakeholders and managing competing priorities.
  • Proficiency with Microsoft Office and project tracking systems.
  • Strong attention to detail and ability to maintain accurate documentation.
  • Ability to work independently in a remote environment.

Preferred Qualifications

  • Experience in solar energy, construction, permitting, utilities, roofing, electrical, HVAC, or related industries.
  • Experience scheduling inspections, permits, installations, or field activities.
  • Familiarity with CRM and project management platforms such as Salesforce, Monday.com, ServiceTitan, Asana, Procore, or similar systems.
  • Bilingual English/Spanish is a plus.
  • Experience working with AHJs, utility providers, inspectors, or subcontractors is highly desirable.

Compensation & Details

  • Salary: $50,000 USD annually
  • Location: Tampa, FL
  • Reports to: Operations Manager
  • Department: Operations

Success in this role means maintaining accurate project schedules, ensuring appointments are confirmed and completed on time, and providing clear communication across all stakeholders. You consistently identify and resolve scheduling challenges before they impact project timelines, maintain accurate project data, and contribute to a seamless customer and team experience.

Within your first few months, you will develop a strong understanding of Terra Energy's project lifecycle, independently manage scheduling activities, build effective relationships across departments, and become a trusted resource for project coordination and schedule management.
