About the position:

The B2B Fulfillment Operations Associate is the operational engine behind AMO's Fulfillment team, keeping every placement moving forward with accuracy, structure, and follow-through. This person works across two connected functions: providing CSMs with the reliable, organized support they need to stay focused on partner relationships, and partnering with the Programs team to send requests to preceptors — providing all necessary details and securing their approval.


The role centers on accurately inputting and organizing data and orders (i.e., clinical placement requests) in HubSpot and our in-house database. It also involves sending preceptors all required details to ensure they clearly understand the request and school requirements and also support student enrollment process end to end. In practice, that means handling back-end administration, collecting required documentation, and making sure every stakeholder — school, student, and preceptor — is prepared and excited for their upcoming clinical experience. Beyond day-to-day fulfillment, the Associate contributes to process improvement, partner and clinical site data upkeep, and program vetting and fulfillment efforts.



While this position can be fully remote, we are looking for candidates to be residents of Alabama, Florida, Illinois, Indiana, Kansas, Michigan, Ohio, or Texas.


Essential Functions: 

  • Order creation & pipeline management — Create new orders in HubSpot and move them through the appropriate pipeline stages, following internal established process from request to confirmation
  • Preceptor request coordination — Send placement requests to preceptors with full details on school requirements, block dates (the date range a rotation is scheduled for), and the number of students being requested, confirming their understanding and securing approval
  • Admin reservations — Create corresponding orders in the AMO admin platform to reserve rotation spots once a placement is confirmed
  • Placement tracker maintenance — Keep placement trackers accurate and up to date, organizing all open requests so the CS team always has visibility into what's outstanding and what needs attention
  • Affiliation agreement & documentation coordination — Send school-required documents (affiliation agreements, preceptor forms) to preceptors and follow up to ensure they're completed and signed promptly, while tracking incoming signed AAs. Organize all school-required documents (CVs, board certifications, licenses, preceptor forms) for each preceptor, then compile everything to send the school with full rotation details, what to expect, reporting instructions, and required student onboarding paperwork
  • Ticket creation & follow-through — Open task tickets for non-order school requests (e.g., updating AA templates) and issue tickets for concerns raised by schools or feedback from students, then follow each ticket through its stages, pushing the task or issue toward resolution and closing it out once complete
  • Support the Fulfillment team on ad hoc projects, including pulling data from multiple systems to compile summary reports on open requests for partner schools
  • Student Onboarding - Review student documents received from students, school coordinators, and enrolling them by sending document packets to preceptors before the rotation starts
  • Develop and maintain a working knowledge base of AMOpportunities' evolving products and services
  • Assist in creating PandaDoc templates, B2B partner documents for Programs, and other Programs team documents as needed
  • Demonstrate an understanding of preceptor and/or student challenges, taking a positive, proactive, solution-based approach to anticipating and resolving issues
  • Collaborate closely with Sales, Clinical Outreach, and other cross-functional teams to meet school partner needs and placement timelines
  • Collaborate with internal teams at various stages of the sales, order, and fulfillment processes to ensure the company meets partner school expectations
  • Maintain accurate, detailed records in the customer relationship management (CRM) system
  • Perform other duties as assigned


Skills/Experience:

  • Strong attention to detail, organization, and time management — comfortable juggling many open items at once, prioritizing effectively, and not letting things fall through the cracks  
  • Experience working across multiple systems or platforms (CRM tools like HubSpot, admin/database platforms, spreadsheets), with the ability to learn new tools and processes quickly  
  • Proficient in Microsoft Office, Excel, and Google Sheets for organizing and reporting on data; experience with tools like PandaDoc is a plus  
  • Clear written and interpersonal communication, with the ability to explain requirements and expectations clearly to external partners (schools, preceptors) and work effectively both independently and collaboratively  
  • Self-starter and results-oriented, with high initiative, the flexibility to adapt as priorities shift, and the ability to manage competing priorities and follow tasks through to completion without significant oversight  
  • Comfortable working cross-functionally with different teams  
  • A proactive, solution-oriented approach to identifying and resolving issues before they escalate  
  • Ability to handle sensitive documentation (licenses, certifications, affiliation agreements) with discretion and accuracy  
  • Prior experience in an operations, coordinator, or client success support role is a plus; experience in healthcare, education, or clinical placements is a plus but not required
