Summary:


We're looking for a talented Senior Executive Assistant to join our Executive Support team. Anaconda is the operating system for AI - with more than 50 million users, we provide access to the foundational open-source Python packages powering modern AI, data science, and machine learning. Our EA team sits at the center of it all, keeping our leaders focused on what moves the mission forward.


As part of the Executive Support team, this role partners directly with executive leaders to protect their time, shape how information flows, and support the operational infrastructure that lets Anaconda move fast. You'll work across teams and functions - bringing clarity, care, and judgment to everything you touch.


What You'll Do:

  • From complex calendar architecture to cross-functional initiatives, you'll own a wide scope with real autonomy. This isn't just coordination work - it's strategic partnership.
  • Act as a proactive strategic partner to executive leaders by owning day-to-day administrative responsibilities, including complex calendar management, meeting coordination, travel planning, and expense processing - always prioritizing time and tasks against executive goals and business impact.
  • Represent and make decisions on behalf of the executive in meetings, communications, and problem-solving scenarios, using a deep understanding of their priorities to act as a trusted proxy.
  • Leverage AI tools and automation workflows to streamline recurring executive tasks, from drafting communications and summarizing information to building repeatable systems that protect the executive's time and your own.
  • Manage complex, high-visibility initiatives beyond traditional administrative duties, including leadership events, organizational onsites, and special executive programs with minimal oversight.
  • Identify and implement AI-powered tools to improve vendor coordination, event management, and communications, bringing a builder mindset to work that's typically done manually.
  • Synthesize organizational intelligence into strategic assets by creating executive-level reports, managing cross-departmental relationships, and providing cross-functional insights that support decision-making.
  • Bring an attentive, steady presence - ready to step in when time-sensitive needs arise, even outside typical hours. You understand the pace of a growing company and show up with care and clarity when it matters most.

What You Need:
  • 10+ years of experience in an Executive Assistant or Administrative Business Partner role, supporting multiple executives in a technology, financial services, or professional services environment.
  • 2+ years managing workplace experiences, including vendor coordination, onsite event execution, and general facilities oversight.
  • Proficiency with Google Workspace, calendar management, and project coordination tools.
  • Demonstrated use of AI tools (e.g., ChatGPT, Claude, Gemini, or similar) to meaningfully improve the quality or speed of your work - including drafting, summarizing, researching, or automating recurring tasks.
  • Excellent written and verbal communication skills, with the ability to engage credibly across all levels of the business.
  • A proactive mindset with strong problem-solving skills and the ability to anticipate needs before they arise.

What Will Make You Stand Out:
  • Experience building or redesigning administrative workflows using AI automation and work management tools (e.g., monday.com, Zapier or similar) to eliminate repetitive work and increase output quality at scale.
  • Track record of introducing AI tools or processes to a team or function, resulting in measurable time savings or improved executive support outcomes.
  • Experience supporting executives in an open-source, AI, or data-first company, with comfort navigating the pace and ambiguity of a high-growth technology environment.
  • Experience in event coordination, event management, or facilities management.

The US base salary range for this role is $100,000 - $120,000 + bonus + equity + benefits. Our salary ranges are determined by role, level, and location. The range displayed reflects the minimum and maximum target salaries for the position across all US locations. Within the range, individual compensation is determined by work location, job-related skills, experience, and relevant education or training. Your recruiter will share more specific details on the range for your preferred location during the hiring process.
