Position Overview:

The General Clerk (Administrative) is responsible for providing administrative and clerical support within a high-volume residential services program. This role ensures accurate data entry, documentation management, and administrative coordination to support daily operations, intake and discharge processes, and compliance reporting.

 

This position operates in a fast-paced, 24/7 environment where accuracy, attention to detail, and responsiveness are critical. The ideal candidate is organized, adaptable, and capable of supporting teams requiring quick turnaround and real-time documentation updates while maintaining strict confidentiality.


Key Responsibilities/Essential Functions:

Administrative & Clerical Support

  • Provide day-to-day administrative support to onsite program operations
  • Maintain organized filing systems (electronic and physical) for operational and personnel records
  • Prepare reports, logs, and documentation to support program activities

 Data Entry & Record Management

  • Accurately enter and update client intake, discharge, and service data into tracking systems
  • Maintain daily records related to population tracking, services provided, and program activities
  • Ensure all records are complete, up-to-date, and aligned with reporting requirements

 Intake/Discharge Documentation Support

  • Assist with processing and documenting intake and discharge activities in a timely manner
  • Support preparation of required forms and documentation for client movement and services
  • Verify documentation accuracy prior to submission

 Compliance & Reporting

  • Support administrative requirements tied to daily, weekly, and monthly reporting deliverables
  • Ensure documentation aligns with internal policies and program compliance standards
  • Assist in preparing documentation for audits, inspections, or quality reviews

 Communication & Coordination

  • Serve as an administrative point of contact for internal teams
  • Coordinate information sharing between departments to ensure smooth operations
  • Support scheduling, shift documentation, and administrative coordination

 General Office Support

  • Manage office supplies and maintain administrative workspaces
  • Assist with document translation coordination and communication materials as needed
  • Perform additional clerical duties to support program continuity


Required Qualifications & Core Competencies:

  • High school diploma or GED required
  • 2+ years of administrative, clerical, or data entry experience
  • Experience working in a fast-paced, high-volume environment
  • Strong data entry and computer skills (Microsoft Office Suite, data systems)
  • Excellent organizational and time management skills
  • Ability to work under pressure with quick turnaround timelines
  • High attention to detail and accuracy in documentation
  • Strong communication skills (written and verbal)
  • Ability to maintain confidentiality and handle sensitive information appropriately

Desired Skills:

  • Experience in human services, residential programs, or administrative operations

    • Trauma-informed care principles
    • De-escalation awareness and communication techniques
  • Bilingual (Spanish or other languages) preferred

Conditions of Employment:

  • Employees must be a U.S. Citizen or a Legal Permanent Resident
  • Employment is contingent upon successful completion of the following screening:
    • Federal background investigation (up to and including a Tier 4 DHS clearance)
    • Criminal history check
    • Verification of employment and education history
    • Compliance with all government credentialing requirements

  • Employees must adhere to all federal security, confidentiality, and operational protocols while working within government facilities.
  • Must be able to speak, read, and write in English
  • Anovaeon operates 24 hours/365 days and requires the flexibility to work additional hours, nights, weekends, and holidays
  • Must show proof of eligibility to work in the U.S.
  • Internal background check to the satisfaction of contract requirements.
  • If applicable, Child Abuse/ Neglect Report (CAN) or child protective services check with no adverse findings.

Physical Requirements:

  • Ability to sit at a computer workstation for extended periods while conducting data entry and interviews
  • Ability to stand and walk for extended periods during facility operations (up to 8-12 hours per shift)
  • Ability to lift, carry, and move supplies and equipment up to 50 pounds
  • Ability to bend, stoop, reach, and perform repetitive motions
  • Capability to work in varied environmental conditions (indoor/outdoor, temperature variations)
  • Ability to respond quickly to emergency situations throughout the facility
  • Visual acuity for reviewing documents and data accuracy
  • Ability to communicate effectively in a busy operational setting

Work Environment:

  • Fully Onsite Position within a residential program setting
  • Fast-paced, high-volume environment with continuous operations
  • Requires frequent interaction with staff and administrative teams
  • Exposure to a structured environment supporting families and youth
  • Work schedules may include rotating shifts, evenings, overnights, weekends, and holidays
