We’re looking for a highly organized, detail-driven Auto Body Administrator to support shop operations and keep day-to-day workflow running smoothly between our shop, customers, and partners. This role is ideal for someone who thrives in a fast-paced environment, is comfortable juggling multiple systems, and enjoys being the central point of coordination that keeps everything moving.

What You’ll Do

  • Create and manage all new repair folders coming into the shop
  • Open and maintain repair files in management software
  • Build and organize estimating software files for each job
  • Ensure all documentation is accurate, complete, and up to date
  • Use partner-provided damage sheets to initiate basic blueprinting of vehicle (not full estimating)
  • Submit bills to fleet partners based disassembly of vehicle
  • Provide ongoing status updates to fleet partners, including completion timelines, through their system
  • Handle incoming retail glass inquiries
  • Provide updates to customers throughout the repair process
  • Close, invoice, and mark delivery for all Recon work orders
  • Collect purchase orders from dealerships
  • Follow up with dealerships when needed to secure missing POs (minimal but important administrative touchpoint)

What We’re Looking For

  • Strong organizational and administrative skills
  • Ability to manage multiple systems and workflows (experience with CCC ONE or Nexsyis is a plus)
  • Clear communication skills with both customers and business partners
  • Detail-oriented mindset with strong follow-through
  • Comfortable working in a fast-paced collision/recon environment
