Position Summary: 
The Activation Specialist leads producer activation, onboarding, licensing, and appointment processes across the organization. This role serves as the subject matter expert for getting producers set up, licensed, appointed, and system-ready to sell — partnering with internal teams and state regulators to keep activation fast, accurate, and compliant. The Senior Activation Specialist also identifies process improvements, supports related compliance monitoring, and helps drive operational excellence in how producers get to market.

 

Key Responsibilities:

Core Activation

  • Lead end-to-end activation for external producers selling company products: entering producer information into all systems, completing compliance reviews, ensuring Producer Agreements are completed on time, and distributing credentials for system access.
  • Serve as the escalation point for complex producer onboarding, activation, licensing, and appointment matters.
  • Lead producer appointment and affiliation processes with state Departments of Insurance, ensuring compliance with state-specific requirements.
  • Support policy transfers between agencies, commission-related processes, and resolution of complex activation issues.
  • Lead and continuously improve the in-house licensing program, including entity Secretary of State filings, producer licensing, adjuster licensing, and ongoing license compliance monitoring.

Process & Team Support

  • Create, maintain, and continuously improve SOPs, process guides, training materials, and knowledge base content for activation and licensing workflows.
  • Audit activation-related operational processes and automated workflows for accuracy, consistency, and effectiveness.
  • Identify opportunities for process improvements, automation, and operational efficiencies within activation and licensing functions.
  • Serve as subject matter expert and mentor for team members on activation, licensing, and appointment best practices.
  • Lead special projects and strategic initiatives as assigned by leadership.
  • Pursue ongoing professional development through continuing education and relevant industry designations.

 

Required Qualifications:

  • Bachelor's degree or equivalent professional experience.
  • 5+ years of experience in insurance compliance, licensing, producer onboarding, operations, account management, or a related field.
  • Active Property & Casualty Producer License in home state and willingness to obtain additional state licenses as required.
  • Strong knowledge of commercial insurance operations, producer licensing, appointments, regulatory compliance, and insurance industry requirements.
  • Experience managing multiple compliance-related programs and initiatives simultaneously.
  • Strong analytical, problem-solving, and decision-making skills.
  • Advanced organizational and time-management skills with the ability to prioritize competing demands.
  • Strong interpersonal and communication skills with the ability to collaborate across multiple departments and external partners.
  • Expertise with Microsoft Office products, particularly Excel, SharePoint, and Power Automate.
  • Experience creating and maintaining SOPs, process documentation, training materials, and operational controls.
  • Ability to work independently in a fast-paced environment with minimal supervision.

 

Preferred Qualifications (Bonus Experience):

  • CISR, CIC, CPCU, ARM, or similar insurance designations.
  • Salesforce experience.
  • Insurtech experience.
  • Experience supporting carrier audits, regulatory reviews, or compliance monitoring programs.
  • Experience with workflow automation and process improvement initiatives.
  • Experience maintaining centralized knowledge bases and documentation repositories.
  • Experience with Jira, Confluence, or similar project and knowledge management platforms.
  • Prior experience mentoring, training, or onboarding team members.

Our interview process:

Our hiring process generally consists of 3 phases. The goal is to provide an opportunity for us to learn more about our candidates while allowing them to get to know us as well!

  • Phase 1: Qualified candidates will first meet with a member of our People Operations team for a phone interview.  This discussion is a high-level conversation to understand more about your background and interests and for us to share more about Coterie and the position.
  • Phase 2: Selected candidates will be invited to meet with our Hiring Manager for a 2nd interview via Teams video. This interview is designed to be more detail oriented and allows you to learn more about the role
  • Phase 3: Top candidates will receive an invite for our final interview series via Teams video. This series will include an experiential exercise project (provided in advance), 1:1 interviews with selected team members. The final series is roughly 1-2 hours in total but can be scheduled over a few days for flexibility.

  • Annual salary estimated between $65,000-$75,000 (paid hourly) based on national data. Candidates who meet all the minimum requirements and possess additional relevant experience, as outlined in the job description, may be considered for a salary above the midpoint of the above range. Salary is based on internal equity; internal salary ranges; market data/ranges; applicant’s skills; prior relevant experience; degrees or certifications, etc.
