Your role as Clinical Care Specialist

Reporting to the Clinic Manager, Hugo Laflamme, the Clinical Specialist is responsible for overseeing the smooth running of the clinic, managing maintenance services for the clinic facilities and ensuring exceptional customer service for all patients.

What you'll be doing


Patient Management:

  • Be an ambassador for the employee experience by providing a high level of customer service.
  • Promoting a friendly and empathetic atmosphere for patients.
  • Ensure that patient concerns and questions, both virtual and On-Site clinic, are addressed in a timely manner
  • Manage the On-Site clinic's patient care plan.
  • Navigation for public and private
  • Schedule follow-up appointments 
  • Schedule On-Site clinic appointments 
  • Optimize and manage On-Site clinic appointment schedule to maximize availability
  • Collaborate with clinic manager to respond to clinic-related complaints

Orders and inventory 

  • Managing the clinic's general equipment and materials 
  • Ordering
  • Expiration dates
  • Receiving
  • Troubleshooting
  • Weekly management of laboratory equipment and inventory
  • Maintain loss reports (expired items, etc.)
  • Obtain clinic manager's approval for all other expenses to meet clinical budget
  • Ensure supply of snacks and coffee for patients and staff  

Other related tasks 

  • Scan and download paper files received at the clinic 
  • Respond to multiple requests received in the clinic's e-mail box
  • Attend team meetings 1x per month 
  • Keep up to date on all changes related to the virtual platform and the Dialogue organization
  • Complete all training required to work in the clinic (BLS etc.) 
  • Update training material for clinical specialists (Notion page etc.) 
  • Train new care coordinators on the replacement team.
  • Suggest improvements and participates in the implementation of these improvements for On-Site clinics

We'd love to hear from you if you have

  • Previous experience working in a medical clinic, ideally a family practice or walk-in clinic (minimum 2 years).
  • Collaborative and team-oriented 
  • Experience at one of our on-site clinics: A plus
  • Exceptional customer service skills and the ability to consistently produce positive interactions with patients, responding to patient questions and concerns in a professional manner.
  • Excellent telephone and face-to-face communication skills, with a friendly and empathetic personality.
  • Highly organized, detail-oriented with strong interpersonal skills.
  • Excellent oral and written communication skills.
  • Good stress management
  • Proficient in MS Office or Google OfficeSuite, with the ability to become proficient with other productivity tools and Dialogue’s Electronic Medical Record System.

Please note that as we serve customers across Canada, bilingualism is an asset for this position. You may be required to communicate in French and English.
