SHIPPING, RECEIVING, AND SAFETY CLERK


JOB DESCRIPTION


1. POSITION SUMMARY


The Shipping, Receiving, and Safety Clerk coordinates freight documentation, receiving records, and driver communication for Inked Brands while providing administrative support to the Warehouse Manager. The role also owns routine safety coordination, including inspection record reviews, monthly safety walkthroughs, and follow-up on safety concerns and assigned actions.


2. REPORTING STRUCTURE


Shipping, receiving, driver coordination, and warehouse administrative duties report to the Warehouse Manager.


Safety responsibilities report directly to the VP of Operations and Director of HR. The Clerk serves as their eyes and ears, providing factual observations and timely follow-up.


This is an individual contributor role with no supervisory or disciplinary authority. HR and the VP of Operations determine disciplinary action and formal safety decisions.


3. SHIPPING AND RECEIVING


Verify inbound and outbound shipment details, quantities, and visible condition against purchase orders, packing lists, and bills of lading (BOLs); document and report discrepancies.


Prepare, verify, sign within assigned authorization, and maintain BOLs, shipping labels, packing slips, delivery receipts, and shipment records.


Schedule approved less-than-truckload (LTL) shipments, carrier pickups, and delivery appointments; monitor shipment status and escalate delays or service issues.


Maintain accurate receiving and shipping entries and assist with freight claims, proof of delivery, and invoice documentation.


Follow current customer routing, labeling, and packaging requirements and maintain the separation of product on Quality Assurance (QA) HOLD.


4. DRIVER AND DOCK COORDINATION


Serve as the primary contact for arriving drivers, manage check-in and departure communication, and assign doors under the approved dock plan.


Keep drivers in designated waiting areas and coordinate authorized access to the facility.


Confirm loading and unloading employees complete required dock and trailer safety checks, including brakes and wheel chocks, before work begins.


Coordinate safe dock activity and departure clearance with the warehouse team; promptly escalate unsafe conditions or incomplete checks.


5. WAREHOUSE ADMINISTRATIVE SUPPORT


Assist the Warehouse Manager with inventory records, cycle counts, discrepancy research, operating reports, and data collection on damaged or wrong-product returns.


Assist with system upload checks, developer ticket documentation, and tracking platform license assignments and usage.


Assist with packaging and supply counts, consumption tracking, and reorder requests; flag excess material use for review.


Assist with maintaining current vendor guidelines, shipping checklists, approved work instructions, and training records in coordination with the Warehouse Manager and Customer Operations Manager.


6. SAFETY COORDINATION


Review and organize equipment inspection cards and digital records at least weekly; confirm required daily, shift, and other scheduled checks are completed and documented.


Observe workplace conditions, report hazards and unsafe practices, and track missing inspections, reported equipment defects, repair follow-up, and overdue safety actions.


Organize monthly safety walkthroughs with Inked’s team of leaders and non-leaders; document findings and report priorities and unresolved concerns to the VP of Operations and Director of HR.


Maintain safety records and action logs and follow up with assigned owners on completion.


Assist with approved safety procedures, emergency plans, drills, orientations, and training coordination; provide approved briefings within personal training and competence.


Report incidents, injuries, and near misses promptly and assist leadership with factual documentation, investigations, and applicable safety reporting. Protect confidential employee information.


7. AUTHORITY AND ACCOUNTABILITY


The Clerk communicates established procedures, documents concerns, and follows up on assigned actions. The role does not issue warnings or discipline, supervise employees, approve policy or process changes, or independently determine regulatory compliance.


Immediate hazards must be reported promptly to the responsible leader, VP of Operations, and Director of HR. Follow approved emergency procedures and request a pause when necessary to prevent harm. Do not clear dock activity when required safety checks are incomplete. Leadership directs resolution and formal corrective decisions.


8. QUALIFICATIONS AND SKILLS


A college degree is not required. Relevant hands-on experience, accurate recordkeeping, and the ability to learn approved processes will be considered.


Experience in shipping, receiving, freight coordination, BOL preparation, inventory records, or warehouse administration preferred.


Practical safety experience, including inspections, hazard identification, inspection records, or safety team participation preferred. OSHA 10 or 30 General Industry training is beneficial.


Strong organization, attention to detail, communication, practical math, and computer skills; comfortable using spreadsheets, inventory systems, and carrier portals.


Ability to communicate concerns objectively, maintain confidentiality, and follow through while respecting the role’s authority limits.


Willingness to complete required company training; operate material-handling equipment only when trained, evaluated, and authorized.


9. PHYSICAL AND WORK ENVIRONMENT REQUIREMENTS


Regular work in office, warehouse, dock, and outdoor driver areas, including standing, walking, bending, reaching, and handling documents and materials.


Ability to inspect shipment details and records, use workplace technology, and handle materials safely with appropriate equipment or team assistance.
