Position Summary

We are seeking an experienced coordinator to plan, manage, and track military medical readiness events across multiple locations. This position serves as the primary liaison between the medical branch and contracted health service providers, ensuring coordinated delivery of health assessments, immunizations, dental care, and deployment-related medical services to service members.

 

The ideal candidate will bring strong organizational skills, experience coordinating military medical or health service delivery events, and a proven ability to manage multiple simultaneous events under firm deadlines. Statewide travel and periodic weekend availability are required. Telework is not authorized.

 

Key Responsibilities

  •  Receive and process requests for medical readiness events including periodic health assessments, mental health assessments, pre- and post-deployment assessments, labs, immunizations, vision, hearing, and dental services for subordinate commands at least annually
  • Enter mass and group events into the required medical event management system for government review and final submission no less than 60 days prior to the requested event date
  • Maintain a current fiscal year and upcoming fiscal year Medical Readiness Event Tracker on shared collaboration platforms accessible to leadership and subordinate commands
  • Twelve months in advance, gather unit data from subordinate commands via annual training briefs; provide leadership with finalized event date, location, unit, and estimated attendance by 31 January each year
  • Participate in pre-event coordination calls with event points of contact approximately 30 days prior to each event to review services and confirm attendance rosters
  • Advise event points of contact on applicable requirements; coordinate nurse case management and behavioral health support; communicate with medical staff for personnel support, vaccination transport, and logistics
  • Verify that systems of record are updated with all required data entry and documentation after contracted health service provider services are completed
  • Provide event attendance monitoring reports; maintain avoidable cost rate below 2.5%
  • Consolidate After Action Review comments from event points of contact; submit summary report to government point of contact within 5 business days of receiving comments
  • Submit group event After Action Reports to government point of contact no later than 14 business days after  account use


Required Qualifications

  • U.S. Citizen
  • Registered access to the applicable medical event management portal — required annually
  • Availability for periodic weekend work to support Medical Readiness Events — this is a disqualifying minimum requirement
  • Willingness to travel to event locations statewide; expenses reimbursed per applicable travel regulations with prior government authorization
  • Ability to obtain and maintain a NACI / Public Trust Security Clearance
  • Ability to obtain and maintain a DoD Common Access Card (CAC)
  • Experience coordinating DoD or military medical readiness or health service delivery events
  • Strong organizational skills with the ability to manage multiple concurrent events and strict deadlines
  • Proficiency in Microsoft Office Suite: Word, Excel, PowerPoint, Outlook/Exchange, Teams, SharePoint
  • Demonstrated ability to plan, organize, meet deadlines, and handle sensitive and confidential information


Preferred Qualifications

  • Prior military service or direct experience supporting the National Guard or Army Reserve
  • Currently active DoD Common Access Card (CAC) and/or existing favorable security clearance adjudication — candidates with an active Secret clearance or higher fully meet and exceed the NACI/Public Trust minimum requirement
  • Experience supporting DoD medical program administration in a military or government contracting environment
  • Familiarity with multiple DoD medical database and administrative systems
  • Prior experience with Army National Guard medical readiness event coordination or health readiness contracting
  • Familiarity with military medical system of record data entry and verification requirements
  • Experience preparing and reviewing After Action Reviews in a military administrative environment
