The Senior Clinic Manager is responsible for the overall operational, financial, and people leadership of 3 high-volume, multi-provider care clinics. This role serves as the senior on-site leader and is accountable for clinic performance, patient experience, team engagement, and compliance with regulatory and organizational standards.

The Senior Clinic Manager partners closely with providers, clinical leadership, and administrative leaders to ensure efficient workflows, high-quality patient care, and alignment with MaxHealth MSO organizational goals. This position requires a strategic mindset, strong leadership presence, and the ability to operate effectively in a fast-paced healthcare environment.


Location and Travel Requirements:

The 3 clinic locations managed by this role are in Austin, Houston, and San Antonio. The Senior Clinic Manager will be based out of one of these locations (based on residence) and will be required to travel approximately 50% of the time to the other 2 clinics. Additional travel to other clinics or corporate offices may be required for training and meetings.


Essential Duties and Responsibilities

Clinic Operations and Leadership

  • Oversee all day-to-day operations of a high-volume, multi-provider clinic, ensuring efficient patient flow, service quality, and operational consistency.
  • Provide direct leadership and supervision to front office and clinical back-office teams (25+ employees and 2–5 providers).
  • Coach, mentor, and develop leaders and team members, promoting accountability, teamwork, and continuous improvement.
  • Partner with physicians and clinical leadership to ensure seamless care delivery and operational alignment.
  • Ensure clinic operations align with organizational policies, performance standards, and patient satisfaction goals.


Financial and Administrative Management

  • Manage site-level financial performance, including budgeting, expense monitoring, and revenue optimization.
  • Review and analyze productivity, operational, and financial metrics to identify trends, risks, and improvement opportunities.
  • Ensure accuracy and timeliness of scheduling, billing, and administrative processes. Support operational decision-making through data-driven insights and reporting.


Quality, Compliance, and Performance Improvement

  • Ensure compliance with all applicable healthcare regulations and standards, including HIPAA, OSHA, CMS, and internal policies.
  • Lead quality improvement initiatives focused on patient outcomes, safety, efficiency, and operational excellence.
  • Conduct routine audits of workflows, documentation, and clinic practices to maintain high standards.
  • Address performance gaps through corrective action, training, and process improvement efforts.
  • Patient and Employee Experience
  • Serve as the senior point of contact for patient concerns and escalations, resolving issues with professionalism, empathy, and timeliness.
  • Foster a positive, service-oriented clinic culture where patients feel valued and employees feel supported and engaged.
  • Promote employee engagement through recognition, communication, and development opportunities.
  • Address employee relations issues in collaboration with Human Resources and Operations leadership.


Strategic and Collaborative Leadership

  • Collaborate with senior leadership on operational strategies, growth initiatives, and clinic performance improvement plans.
  • Identify and implement innovative solutions to improve workflows, efficiency, and patient experience.
  • Participate in leadership meetings, site reviews, performance evaluations, and planning efforts.
  • Support system-wide initiatives, standardization efforts, and change management activities.


Knowledge, Skills, and Abilities

  • Strong leadership, organizational, and team development skills.
  • Excellent problem-solving, decision-making, and conflict-resolution abilities.
  • Strong verbal and written communication skills with the ability to influence at all levels.
  • Proficiency with EMR/EHR systems (eClinicalWorks preferred).
  • Strong analytical skills with experience using operational and financial metrics to drive performance.
  • Proficiency in Microsoft Office Suite and practice management software.
  • Ability to manage multiple priorities in a fast-paced, high-volume environment.
  • Bilingual (English/Spanish) preferred but not required.


Education and Experience

  • Bachelor's degree in Healthcare Administration, Business Administration, or a related field preferred.
  • Minimum of 5 years of experience in primary care practice management.
  • Experience managing large, multidisciplinary teams in fast-paced clinical environments required.
  • Demonstrated success in improving operational performance, managing budgets, and achieving key metrics.
  • Experience in multi-provider or multi-site healthcare settings strongly preferred.


Physical Requirements

  • Work performed primarily in a clinic-based office environment.
  • Frequent standing, walking, and movement throughout the clinic during the workday.
  • Regular use of hands and fingers for computer work, documentation, and communication.
  • Visual acuity required for reading screens and documents.
  • Occasional lifting of up to 25 pounds.
  • Ability to travel between clinic locations as needed (up to 50%).
  • Ability to communicate effectively in person, over the phone, and electronically.
