Role Description

The Accounting Associate will own Stellaromics' day-to-day accounts payable and accounts receivable as we scale commercial sales. Reporting to the Controller and working closely with our Staff Accountant, you will process vendor invoices and payments, bill customers and manage collections, and keep the AP and AR subledgers clean and reconciled for month-end close. This is a hands-on role for someone early in their accounting career who wants to build a strong foundation at a growing life sciences company and expand into broader close and reporting work over time.

Key Responsibilities

Accounts Payable

  • Process vendor invoices end to end: match to purchase orders and receipts, code to the correct GL accounts and departments, and route for approval
  • Prepare weekly payment runs (ACH, wire) for review and approval, and keep payment records accurate and complete
  • Review new vendor setups and verify banking details and any bank change requests before payment
  • Review and process employee expense reports and corporate card transactions for policy compliance and accurate coding
  • Respond to vendor inquiries and reconcile vendor statements
  • Prepare year-end 1099s with support from our outside tax advisors

Accounts Receivable

  • Prepare and issue accurate, timely customer invoices for instruments, consumables, and service contracts
  • Apply cash receipts and maintain the AR subledger
  • Manage collections: monitor the aging, follow up on past-due accounts, and partner with Sales and Customer Success to resolve billing questions
  • Review new customer setup requests from Sales, recommend payment terms, and set up approved customers in NetSuite
  • Make sure sales tax is applied correctly on invoices and provide data to support sales and use tax filings
  • Prepare credit memos and process customer refunds with appropriate approval
  • Submit invoices through customer procurement portals (e.g., Ariba, Coupa, Jaggaer) and complete supplier onboarding forms for new customers
  • Maintain billing schedules for service contracts and support deferred revenue tracking at month-end

Month-End Close and Audit Support

  • Reconcile the AP and AR subledgers to the general ledger and prepare AP and AR aging reports
  • Prepare AP accruals and support period-end cutoff
  • Contribute to weekly cash reporting with upcoming AP payments and expected collections
  • Pull supporting documentation for auditor requests related to AP, AR, and cash
  • Document AP and AR procedures and recommend improvements and automation as transaction volume grows

Qualifications

Required:

  • Bachelor's degree in accounting, finance, or a related field, or equivalent experience
  • 1–3 years of accounts payable, accounts receivable, or general accounting experience
  • Solid grasp of accounting fundamentals: debits and credits, accruals, and reconciliations
  • Experience with an ERP or accounting system, NetSuite preferred; QuickBooks, Sage Intacct, or similar considered
  • Strong Excel skills, including lookups and pivot tables
  • High attention to detail and comfort managing growing transaction volume against deadlines
  • Clear, professional communication with vendors, customers, and internal teams
  • Comfortable working in an environment where processes are still being built and documented

 Preferred:

  • Experience in life sciences, biotech, medical devices, or manufacturing
  • Experience with a purchase order or spend management system such as Zip, Coupa, or similar
  • Experience with AP automation, corporate card, or expense tools (e.g., Bill.com, Ramp, Brex, Expensify)
  • Exposure to invoicing for hardware, consumables, or service contracts
  • Familiarity with sales and use tax and 1099 reporting
  • Interest in using AI tools and automation to streamline finance workflows
