The Opportunity

TopDog Law partners with law firms across the country to deliver better outcomes for clients. Behind every partnership is an operational layer that keeps data clean, communication moving, and nothing falling through the cracks.

You'll sit inside the Referral Partner Operations team as the go-to person for the rest of the team and the owner of our top-tier partner firms. You're the first stop for team questions before anything reaches the Manager, and the person who catches discrepancies between what a partner reports and what our own systems show — before they become a bigger problem. This role works in close partnership with the Manager: you help run the team day to day and think strategically about where things break, while the Manager owns the function overall. You're comfortable making calls in the gray, and you bring both the problem and a proposed solution when you raise something.


What You Will Own

Own Top Partner Firms & Reconciliation

  • Own the relationship and data integrity for our top-tier referral partner firms.
  • Tie out external partner and firm reports against internal Salesforce and reconciliation reports, and run discrepancies down to resolution.
  • Be the person the team calls when numbers don't add up.

Support Team Leadership

  • Serve as the first point of contact for team questions — team members come to you before escalating to the Manager.
  • Directly manage the day-to-day work of team members, in partnership with the Manager, including workload, quality, and priorities.
  • Support performance management alongside the Manager, including check-ins, coaching, and review conversations.
  • Lead by example on accuracy, communication, and ownership — model the standard the rest of the team works toward.

Communicate and Solve Problems

  • Communicate proactively and professionally with external partners by email and phone.
  • Keep a live handle on outstanding partner emails — track what's open, follow up proactively, and ask the right clarifying questions before something goes stale.
  • Apply strategic and critical thinking to ambiguous, undefined problems — comfortable working without a playbook.
  • Bring issues to the Manager along with a proposed solution, not just the problem.
  • Continuously look for ways to improve existing systems, reconciliation processes, and reporting accuracy.

What You Bring

Required:

  • Strong written and verbal communication skills, especially with external stakeholders.
  • A track record of working independently, taking initiative, and following through without reminders.
  • Comfort with ambiguity — able to make sound judgment calls in gray areas and explain the reasoning behind them.
  • Sharp attention to detail and task-oriented, especially when reconciling data across multiple systems or reports.
  • Strong problem-solving and critical-thinking skills — you dig into why something's off, not just that it is.
  • Proficiency with Excel/Google Sheets; familiarity with Salesforce, Filevine, or similar CRM/case management platforms.

Preferred (Nice to Have):

  • Some prior experience leading, mentoring, or informally guiding others.
  • Interest in growing into a broader people-leadership role as the team scales.
  • Legal, financial services, reconciliation, or similarly regulated environment experience.

What We Offer

  • Base Salary: $60,200 - $79,000, commensurate with experience
  • Our job postings reflect the compensation range for the specific market and location of each role. Ranges vary by geography based on local market rates and cost of labor.
  • Benefits include: Medical, dental, and vision insurance, 401(k) with company match, HSA, life insurance, disability coverage, paid time off, and parental leave.
