The team includes a few departments and functions, including Deal Desk, Collections, Data and Analytics, Partnership Management, and IT. The goal of Business Operations is to ensure that our data capture is accurate, our processes are sound, and that the information we gather is fueling our decisions.

The Opportunity

We are seeking a detail-oriented Sales Operations Analyst to join our team. This role is critical to streamlining our sales operations by managing contract creation, deal processing, and administrative tasks that support our GTM teams. The ideal candidate will have strong attention to detail, excellent data management skills, and the ability to work independently while supporting a fast-paced sales environment.

What You'll Do

  • Manage contracts and deals - create and prepare sales contracts using provided templates and pricing guidelines.
  • Process signed agreements - download, organize files in Google Drive, and update HubSpot records accordingly.
  • Complete deal closures - execute deal closure processes in HubSpot, ensuring all required fields are accurately populated.
  • Maintain data integrity - preserve strict data accuracy across multiple systems, including HubSpot, Streetsmart, and Airtable.
  • Generate preliminary proposals - build preliminary proposals in Streetsmart up to 70% completion for Account Executive final customization.
  • Provision new customers - set up new customer profiles in the MSP (Vanta) platform, including customer details, frameworks, and company size information.
  • Administer platform permissions - configure user permissions and issue admin invitations for Vanta instances.
  • Maintain data hygiene - monitor systems to prevent duplicate deal creation across the CRM.
  • Conduct quality control audits - perform weekly audits to identify companies with active contacts but no associated deals.
  • Meet strict performance metrics - complete Sprint deals end-to-end within 15 minutes, handle 10-15 new deals and 20-30 contracts daily, maintain a 98%+ system data accuracy rate, and process incoming contract requests within 2 business hours.

Who You Are

  • HubSpot power user - Delivered consistent data configuration, pipeline governance, and deal stage optimization directly within the HubSpot ecosystem.
  • Google Workspace expert - Advanced mastery of Google Docs, Sheets, and Drive to architect, format, and secure scalable operational files and data repositories.
  • Commercial contract manager - Successfully generated, validated, and processed complex service proposals, customer-facing agreements, and foundational GTM documentation.
  • Multi-SaaS platform operator - Orchestrated seamless data synchronization and concurrent software management across distinct business platforms (such as HubSpot, Streetsmart, and Airtable).
  • Data integrity champion - Applied an uncompromising eye for detail to eliminate cross-system data drift, consistently maintaining a data accuracy threshold of 98% or higher.
  • SOP engineer - Demonstrated ability to execute granular operational procedures with extreme precision while proactively identifying hidden process gaps to optimize efficiency.
  • High-velocity executor - Mastered the balance of rapid turnaround times and surgical precision under tight SLAs, with a proven ability to process complex deals end-to-end within 15-minute windows.
  • Proactive GTM liaison - Deployed clear, concise, and immediate communication strategies to confidently manage stakeholder expectations and synchronize efforts between sales teams and management.
  • Operational troubleshooter - Diagnosed, isolated, and resolved workflow bottlenecks and data mapping friction before they impacted sales momentum.
  • Self-directed remote driver - Maintained peak daily output, crushed rigorous volume targets (managing 10–15 deals and 20–30 contracts daily), and operated entirely autonomously in a distributed environment.

What will help you succeed

  • Direct execution of workflow automation - Practical construction and deployment of logic-based automated sequences, process triggers, and platform integrations to wipe out manual tasks.
  • Commercial mastery of the SaaS blueprint - Deep execution of subscription revenue models, technical licensing structures, customer lifecycles, and modern go-to-market (GTM) methodologies.
