This is a hybrid role based in Burlingame, CA with the team working together in person 2 days per week.

Role Description

We’re looking for an exceptional Executive Assistant to directly support Galileo’s three co-founders — the CEO, CTO, and CPO. This role is critical to ensuring the founders are operating at peak effectiveness in a fast-paced, high-change environment. You will anticipate needs, eliminate friction, manage communication flow, and create structure that empowers the founders to focus on high-leverage work.


This is a role for someone who can think several steps ahead, handle sensitive information with discretion, and navigate rapid context switching with confidence and calm.

The Impact You’ll Have

Keep all three co-founders organized, aligned, and prepared for every meeting, priority, and commitment.

Drive operational efficiency by managing calendars, inboxes, follow-ups, and communication flow.

Remove obstacles proactively — often before the founders are aware of them.

Ensure high-quality execution on logistics, planning, and day-to-day operations.

Tailor your support style to each founder’s working style while maintaining balanced coverage across all three.

Core Responsibilities

  • Calendar Management:
    Coordinate complex, constantly shifting calendars for three co-founders across time zones, prioritizing the highest-impact work.
  • Email & Communication Management:
    • Organize and maintain inbox structure
    • Flag urgent/high-priority items
    • Draft and follow up on emails
    • Ensure timely responses and close loops on all outstanding communication
  • Travel Logistics:
    Expertly coordinate domestic and international travel, including itineraries, accommodations, ground transportation, and real-time adjustments.
  • Always On-Call:
    Given the pace of a startup, the EA must be comfortable being “on-call” six days a week, with prompt response times via text and phone.
  • Proactiveness
    This role requires anticipating needs before they become issues. Examples include:
    • Noticing slow response times to key emails and stepping in
    • Accelerating interview scheduling when bottlenecks appear
    • Identifying when a founder needs support completing a task more efficiently
    • Proactively scheduling meetings with stakeholders we haven’t connected with yet
    • Spotting commute challenges, meeting conflicts, or personal schedule issues — and resolving them
    • Asking founders which tasks feel most repetitive or mundane, and designing better systems
  • Personalized Support
    Each co-founder works differently. You will:
    • Tailor your style to individual needs
    • Balance attention and support across all three
    • Ensure none “fall through the cracks” even when one leader requires heavier support
    • Reassess priorities continuously to maintain alignment
  • Weekly Planning
    You should expect to carve out time on Sundays to prepare the schedule, materials, and priorities for the upcoming week to set the founders up for success.

  • Support sensitive, high-priority internal and external communications
  • Build strong relationships across the company to accelerate execution
  • Maintain confidentiality and professionalism at all times
  • Step in for urgent in-person tasks when needed (commute required)

Qualifications

  • Previously worked at a startup
  • Successfully supported 3+ senior leaders simultaneously
  • Ability to commute when urgent, time-sensitive tasks arise
  • Expert-level travel coordination skills
  • Highly strategic scheduler with impeccable prioritization instincts
  • Ability to communicate clearly and professionally with senior leaders, customers, and external partners
  • Thrives in a fast-paced, high-volume environment with shifting priorities
  • Strong calendaring skills; Google Calendar and Gmail experience required
  • Exceptional relationship-building and collaboration abilities
  • Hyper-organized with strong systems-thinking and process discipline
  • High integrity, sound judgment, and ability to handle confidential information

The pay range for this role is listed below and represents the expected salary range for non-commissionable roles or on-target earnings for commissionable roles. Actual compensation packages are based on several factors that are unique to each candidate, including but not limited to job-related skills, depth of experience, relevant certifications and training, and specific work location. The total compensation package for this position may also include eligibility for commission, equity, and company sponsored benefits/perks.

The pay range for this role is:

110,000 - 130,000 USD per year (Hybrid (Burlingame, California, US))
