Administrative Assistant

Gevo is a next generation, “low-carbon” fuel company focused on the development and commercialization of renewable alternatives to petroleum-based products. Low-carbon fuels reduce the carbon intensity, or the level of greenhouse gas emissions, compared to standard fossil-based fuels across their lifecycle. The most common low-carbon fuels are renewable fuels. Gevo is focused on the development and production of mainstream fuels like gasoline and jet fuel using renewable feedstocks that have the potential to lower greenhouse gas emissions at a meaningful scale and enhance agricultural production, including food and other related products.  


About the Role

We are looking for an Administrative Assistant to provide day-to-day administrative and project support across the team. This role is important in helping keep work organized, on track, and moving forward by supporting scheduling, coordination, documentation, and a wide range of administrative tasks.

The right person for this role is organized, dependable, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. This person will bring a proactive, team-focused approach and be someone others can count on to help keep things running smoothly.

In addition to the core responsibilities of the role, this position will also provide backup support to the Executive Assistant and must be able to step into expanded responsibilities when needed. This may include supporting senior executives to help ensure continuity of operations for the Executive Office.

 

What You’ll Do:

In this role, you will:

  • Provide administrative support to leaders and teams across the organization
  • Coordinate schedules, meetings, and logistics to help keep priorities organized and on track
  • Support internal and external meetings by helping with scheduling, meeting materials, notes, and follow-up items as needed
  • Prepare presentations, reports, spreadsheets, correspondence, and other business documents
  • Help track tasks, timelines, and deliverables to support project and team follow-through
  • Arrange travel and accommodations and assist with expense reporting
  • Organize virtual and in-person meetings, team events, and onsite activities
  • Conduct research, gather information, and prepare summaries or supporting materials as needed
  • Maintain files, records, and other documentation in an organized and accessible way
  • Develop and improve tools, trackers, and administrative processes to support team efficiency
  • Partner with employees across departments to coordinate requests, gather information, and support day-to-day business needs
  • Support onsite office needs as needed, including conference room readiness, office setup coordination, supply management, and general office support
  • Use workplace technology and digital tools, including AI-enabled tools where appropriate, to support organization, communication, and productivity
  • Provide backup support to the Executive Assistant and step into expanded responsibilities when needed to support continuity for the Executive Office
  • Support senior executives as needed during periods of coverage, high business demand, or shifting priorities
  • Assist with special projects, ad hoc reporting, and other administrative responsibilities as needed

  • The ability to proactively anticipate needs and take initiative to resolve issues before they disrupt workflow
  • The ability to represent the Executive Office professionally with internal leaders, external partners, and key stakeholders
  • The ability to handle urgent or time-sensitive requests with calm, organized execution and quickly adjust priorities as needed

     

Education/Experience Requirements:

  • 5+ years of administrative experience preferred, ideally in a fast-moving, high-expectation environment; we are most interested in demonstrated capability, maturity, sound judgment, and the ability to thrive in a fast-paced environment.
  • High school diploma required; associate’s or bachelor’s degree preferred

Salary (for Colorado only)

Our salary ranges are based on national averages. We have wide ranges so we can be flexible and determine compensation based on a number of factors including the candidate's skills, level of experience, and location (which can be anywhere in the US). For Colorado-based candidates, the salary range for this position starts at $79,200 per year. Compensation at all other locations will be based on the factors as stated above.
