Key Responsibilities:

  • Scheduling & Calendar Management
    • Coordinate and manage a highly intricate schedule of meetings, travel, events, and activities
    • Provide real-time updates to all relevant parties with efficiency and clarity
    • Exhibit a natural curiosity about all calendar details, ensuring thorough understanding and proactive management
  • Travel Coordination
    • Plan and manage complex travel itineraries (business and personal), over multiple domestic and international time zones 
    • Manage last-minute travel changes, airline adjustments, and emergencies with composure and grace, employing creative problem-solving to identify the best solutions 
  • Administrative Support
    • Manage and prioritize the CEO’s extensive email inbox, aligning actions with current priorities
    • Ensure the CEO is prepared with any necessary materials and resources for daily activities
    • Develop and maintain organizational systems and processes for maximum productivity
  • Personal Support
    • Track and plan for birthdays, anniversaries, and special events
    • Support the Co-Founder with community projects, events, and other special initiatives
    • Coordinate family trips, events and family office meetings
  • Communication
    • Field phone calls, emails, slack and text messages with professionalism and warmth
    • Ensure all interactions leave people feeling valued and important
    • Excellent Follow-up and response time
  • After-Hours Availability
    • Be accessible for last-minute changes to meetings,  travel or event planning.

The ideal candidate has:

  • 10+ years of experience as an Executive Assistant, ideally in a Family Office
  • Exceptional strategic thinking capabilities with superior organizational skills, absolute discretion, and a proactive ability to anticipate and address needs
  • Positive and energetic demeanor with the ability to remain calm, composed, and solution-focused under pressure
  • Proven experience supporting upper management, including daily collaboration with C-Suite executives, with a high level of discretion and professionalism
  • Advanced proficiency with G-Suite, Zoom, Slack, and other productivity tools, with the ability to adapt quickly to new technologies
  • Familiarity with the unique demands and dynamics of Family Office operations
  • Familiarity  with private aviation, including working knowledge of protocols, logistics, and best practices
  • Excellent communicator who builds rapport and trust with internal and external stakeholders

  • Struggle with unpredictable shifts in priorities and tasks; flexibility and confidence are essential.
  • Say “it can’t be done”; instead, maintain a solution-oriented mindset, finding creative and resourceful ways to overcome challenges.
  • Hesitate to take ownership of responsibilities, no matter the scale, tackling every task with enthusiasm and pride.

Compensation: $100,000 - $120,000
