The Role:

  • Goddard is seeking a highly organized and personable Office Manager with at least 2 years experience in field to be the face of our office and ensure smooth day-to-day operations. This role combines front-desk responsibilities with administrative, operational, and light financial support. The ideal candidate is proactive, detail-oriented, and comfortable managing multiple responsibilities in a fast-paced environment.


Responsibilities:

Workplace Operations 

  • Greet and assist all visitors, clients, and vendors in a professional and friendly manner  
  • Manage office entry and check-in process  
  • Coordinate visitor schedules and notify staff of arrivals  
  • Maintain a clean, organized, and welcoming reception area  
  • Receive, sort, and distribute incoming mail and packages  
  • Prepare and ship outgoing packages (FedEx, UPS, USPS, etc.)  
  • Maintain office supplies and coordinate orders as needed  
  • Support general office organization and daily operations  
  • Assist with planning and coordinating internal meetings and office events  
  • Manage conference room scheduling and setup  
  • Coordinate catering, materials, and logistics for events  

Administrative & Financial Support 

  • Assist with client billing and invoicing processes  
  • Track and organize invoices, receipts, and basic financial records  
  • Support administrative tasks such as data entry, document preparation, and filing  
  • Collaborate with leadership on operational needs  

Additional Responsibilities  

  • Optimize office layouts and improve organization systems as needed  
  • Maintain security systems, including badge access and visitor logs, ensuring compliance with safety protocols  
  • Collaborate with IT to coordinate maintenance and upgrades of office equipment  


Qualifications:

  • 2+ years of experience in a receptionist, office coordinator, or office manager role  
  • Strong organizational and multitasking skills  
  • Strong interpersonal and leadership skills to guide, support, and manage staff and clients 
  • Adaptability and problem-solving mindset 
  • Proficiency with Microsoft Office, Google Workspace, or similar tools  
  • Experience with invoicing or billing systems is a plus  
  • Ability to work independently and take initiative

The pay range for this role is:

25 - 35 USD per hour (Wilmington Office)
