We are seeking a highly organized and compassionate Consult Coordinator to join our team. In this role, you will be the primary point of contact for patients seeking information and access to our TMS and Spravato (esketamine) treatments. You will guide patients through the consultation process, ensuring they understand their treatment options, insurance coverage, and financial responsibilities. Your ability to build rapport with others, delivering clear, compassionate, and professional communication is crucial to our patient's journey and our clinic's success.

Responsibilities:

  • Compassionate Consultations: Provide clear, supportive education on TMS and Spravato treatments (remote & in-person), ensuring open availability for patients.
  • Collaborative Communication: Build strong relationships with patients, physicians, and staff, providing consistent, empathetic support.
  • Seamless Pre-Assessments: Guide patients through insurance and financial options, scheduling pre-assessments with ease.
  • Coordinated Treatment Scheduling: Expertly manage provider schedules, resolve issues, and ensure smooth patient transitions from authorization to treatment.
  • Meticulous Consult & Financial Management: Accurately handle insurance, paperwork, and system updates, ensuring timely follow-up.
  • Proactive Patient Follow-Up: Monitor patient progress, update appointments, and maintain open communication.

Qualifications & Skills:

  • Communication & Interpersonal: Clear, compassionate, and professional communication.
  • Technical: Strong computer literacy and ability to quickly learn and utilize various software applications. CRM/EHR (Salesforce preferred) experience preferred but not required.
  • Organizational: Effective multitasking, prioritization, and deadline management.
  • Patient-Centered: Compassion and empathy in patient interactions.
  • Collaborative/Independent: Ability to work independently and as part of a team.
  • Insurance Knowledge: Understanding of insurance criteria/coverage preferred but not required.
  • Education: Associate’s degree or higher (preferred); High School Diploma/Equivalent required.

Benefits Statement: Selected candidate will be eligible to participate in the Company’s employee benefit plans, which currently include: health insurance; dental insurance; vision insurance; optional supplemental medical insurance; health savings and flexible spending accounts; company-paid life insurance and additional voluntary life insurance; company-paid short term disability and long term disability insurance; participation in a 401(k) savings and investment plan with company contribution; and paid time off for non-exempt salaried employees is calculated as .625 per pay period worked for vacation time and .29166 per pay period for personal time. Full-time exempt employees will be eligible for Flex-PTO, which allows time off without accrual. If applicable and required under state law, the successful candidate will also be eligible for paid sick leave.
