About the role

  • The Executive Assistant to the CEO provides comprehensive support to the CEO and Board of Directors. This role involves managing the CEO’s schedule, handling communications, serves as liaison to the Board of Directors, and supporting special projects as assigned by the CEO. The ideal candidate will be proactive, highly organized, and capable of managing multiple priorities with professionalism and confidentiality.

What you'll do

  • Provides high-level administrative support and assistance to the CEO
  • Performs clerical and administrative tasks including drafting letters, memos, reports, and other documents for the CEO.
  • Arranges travel and accommodations.
  • Schedules and attends meetings on behalf of the CEO and/or the Board of Directors, taking notes and recording minutes.
  • Receives incoming communication or memos, reviews content, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Supports WOD event logistics, including vendor coordination, venue booking, guest lists, and event materials.  Provide on-site support to ensure events run smoothly and effectively.
  • Performs office tasks including maintaining records, filing and ordering supplies for the CEO.
  • Performs additional duties as assigned by CEO.

Qualifications

  • Excellent verbal and written communication skills. 
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Extensive knowledge of office administration, clerical procedures, project management and recordkeeping systems.
  • Able to type minimum of 50 words per minute.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
  • Education and Experience:

    • High school diploma required; Bachelor’s degree in Business Administration or related field preferred.
    • 5-10 years of experience supporting C-level executives, preferably in a nonprofit organization.
  • Physical Requirements:

    • Prolonged periods sitting at a desk and working on a computer.
    • Must be able to lift up to 15 pounds at times.
