Role Overview

  • The Staff Accountant plays a key role in ensuring the accuracy and integrity of the organization’s financial operations. This position is responsible for general ledger maintenance, journal entries, accounts payable, bank reconciliations, grant tracking, and monthly reporting. Working closely with the CFO, the Staff Accountant will support timely financial closings and ensure compliance with federal and state funding requirements.

Key Responsibilities

  • General Accounting and Financial Reporting
    • Prepare journal entries and maintain the general ledger
    • Assist in month-end and year-end close processes, including reconciliation of balance sheet accounts
    • Help prepare monthly financial statements and internal management reports
    • Support the preparation of annual audit materials and assist with external audits.
  • Grant and Fund Accounting
    • Track and report on restricted grant funds in compliance with HRSA and other funder requirements
    • Monitor spending to ensure alignment with grant budgets and timelines
    • Support budget development and cost allocation tracking
  • Accounts Reconciliation and Analysis
    • Reconcile bank accounts, credit cards, and accounts receivable/payable balances
    • Collaborate with the billing specialists to ensure accurate recognition of revenue from the electronic medical records systems (AthenaHealth, Dentrix, and eClinicalWorks systems).
    • Review variances and discrepancies and assist with correcting entries.
  • Payroll and Employee Expenses
    • Complete payroll processing and assist management in time management and time off review
    • Assist with payroll journal entries and allocations using the payroll system and expense management platform (Rippling).
    • Prepare payroll allocation entries and support reconciliation using the payroll and expense management platform (Rippling).
    • Reconcile employee reimbursements and PTO tracking
  • Accounts Payable Support
    • Enter and code invoices accurately by department, grant, and funding source
    • Ensure all invoices have appropriate documentation and approvals before processing
    • Maintain AP ledger and support timely payment processing via check, ACH, or credit card
    • Monitor payment terms and aging reports to ensure timely disbursements
    • Assist with vendor setup and W-9 tracking
    • Track grant-related or restricted fund expenses to ensure proper allocation and allowability
  • Compliance and Internal Controls
    • Follow internal controls and procedures to ensure financial integrity
    • Maintain organized, auditable documentation for all transactions
    • Support process improvement and automation initiatives
  • All other duties as assigned

Requirements

Education

  • Associate's degree in accounting, Finance, or related field is required. Bachelor's degree in Accounting or Finance is preferred.

Experience

  • At least 2 years of professional accounting experience is preferred
  • Experience in nonprofit or healthcare accounting, including grant tracking, is a plus

Certifications

  • CPA track, CPA eligible, or relevant certifications (e.g., AIPB, CFE) preferred but not required.

Skills

  • Knowledge of GAAP and fund accounting principles
  • Proficiency in accounting software (MIP Fund Accounting preferred), Microsoft Excel, and payroll platforms (Rippling preferred)
  • Strong analytical and organizational skills
  • Ability to manage multiple priorities with accuracy and efficiency
  • Effective verbal and written communication skills
  • Commitment to HFHC's mission and values

Job Type

  • Full Time

Compensation

  • Salary Range: $50,000- $60,000
  • Comprehensive benefits package including health, dental, and vision insurance, paid time off, and retirement plan.

Work Setting

  • In person, with potential for working one day a week remotely following a six-month training and onboarding period
