About the role
Healthcare Solutions is hiring a Purchasing & Data Operations Specialist to join our growing Edmonton-based team. This critical role bridges product data accuracy, pricing analytics, and ERP system integrity to support our marketing, procurement, and retail operations. What you'll be doing
Purchasing & Inventory Responsibilities (weighting 70%)
- Analyze product movement and inventory trends using historical usage data and forecasting tools (Netstock experience is an asset).
- Support procurement with replenishment planning and decision making.
- Review inventory reports, vendor schedules, and budget allocations to support timely and cost-effective purchasing decisions.
- Create and submit purchase orders (POs), analyzing current inventory levels, historical sales trends, and outstanding backorders.
- Validate vendor pricing against historical cost, supplier portals, and active contracts/ special pricing agreements to ensure accuracy and margin protection.
- Coordinate PO for Manager review and final approval; confirmations and documentation in alignment with internal processes.
- Monitor and manage the full PO lifecycle — from initial submission to delivery — maintaining proactive vendors and internal stakeholders communication.
- Communicate estimated inventory arrival times to internal sales teams (retail, customer support services, and third-party) to ensure timely customer updates.
- Track and trace shipments; expedite deliveries as needed and resolve discrepancies or delays.
- Reconcile open backorders against outstanding sales orders; provide updated delivery estimates or alternative product recommendations where appropriate.
- Collaborate with Receiving and Finance to resolve issues in inventory counts, PO receipts, or vendor invoices.
- Coordinate vendor returns, manage authorization documentation, and ensure accurate ERP documentation.
- Maintain ERP records for both stock and non-stock items using standardized naming and formatting.
Product & Data Responsibilities (weighting 30%)
- Support pricing and margin strategy through competitor/vendor pricing analysis, manufacturer cost update management (ERP uploads), and regular data audits.
- Build practical reporting in Excel (e.g., PivotTables, XLOOKUP/INDEX-MATCH, basic Power Query) to monitor pricing, catalog accuracy, and inventory KPIs.
- Analyze reports to identify trends, discrepancies, and errors, and present actionable insights and findings to management.
- Develop and maintain reporting that connects purchasing, pricing, and sales data (e.g., margin by category/vendor, contract pricing compliance, product performance) to support strategic decisions.
- Maintain and validate ERP product records, including pricing, descriptions, SKUs, and inventory data.
- Audit and reconcile product information across the ERP, website, catalogues, and digital tags.
- Troubleshoot data issues and ensure seamless syncing between ERP and eCommerce platforms.
- Collaborate with various departments to ensure product data is accurate, standardized, and actionable.
What You Bring
- 3+ years of experience in a data-driven, purchasing, or product operations role in retail, eCommerce, or supply chain.
- Proficiency with ERP systems and spreadsheets; strong Microsoft and Google Suite especially advanced Excel skills are required. (PivotTables, XLOOKUP/INDEX-MATCH, Power Query).
- Experience with NetSuite and Netstock is a definite asset.
- Strong communication skills and effective cross-department/vendor collaboration
- Detail-focused with excellent organizational skills.
- Analytical mindset with the ability to investigate discrepancies and support data-driven decisions.
Nice to Have
- Knowledge of pricing strategy, retail margin analysis, or inventory optimization.
- Post-secondary education in supply chain, business, or a related field.
- Familiarity with customer service standards and safety procedures in a warehouse/retail environment.
