About the role
Position: Benefits & Payroll Specialist, HR
Location: hello82 Los Angeles, CA
Work Hours: M-F 9:30AM to 6:30PM
We are seeking an experienced Benefits & Payroll Specialist to serve as the subject matter expert for our Total Rewards operations. With a minimum of 5 years of experience, you will oversee the full lifecycle of payroll processing and benefits administration. You will ensure accuracy, compliance, and a seamless employee experience, acting as the primary point of contact for all compensation and benefits inquiries.
Key Responsibilities
1. Payroll Administration (End-to-End)
- Full-Cycle Processing: Manage and process bi-weekly/semi-monthly payroll for 80+ employees, ensuring accurate calculation of wages, tax withholdings, and deductions.
- Data Integrity: Oversee time and attendance data, verifying hours worked, overtime, and time-off balances prior to processing.
- Tax & Compliance: Handle quarterly and year-end payroll tax filing requirements (W-2s) and ensure compliance with federal, state, and local tax laws (FLSA, wage & hour laws).
- Auditing: Conduct regular payroll audits to ensure accuracy and resolve any discrepancies immediately.
2. Benefits Management
- Plan Administration: Administer all employee benefit programs, including Medical, Dental, Vision, Life Insurance, Disability, and 401(k) retirement plans.
- Open Enrollment: Lead the annual Open Enrollment process, including employee communication, system configuration, and data transmission to vendors.
- Leave of Absence: Manage all leave requests, including FMLA, ADA, STD/LTD, and parental leave, ensuring proper documentation and tracking.
- Reconciliations: Monthly reconciliation of benefit invoices against payroll deductions to ensure financial accuracy.
3. HR Specialist Functions & Reporting
- Onboarding & Offboarding: Manage the payroll and benefits aspect of the employee lifecycle, including new hire enrollments and termination processing (COBRA, final pay).
- HRIS Management: Maintain the HRIS/Payroll system [e.g., ADP, Paylocity, Workday], ensuring data accuracy and generating custom reports for Finance and HR leadership.
- Employee Support: Serve as the first point of escalation for complex employee questions regarding pay stubs, tax changes, and benefit plan coverage.
Qualifications
Education & Experience
- Experience: Minimum of 5 years of progressive experience in combined payroll and benefits administration.
- Education: Bachelor’s degree in Human Resources, Accounting, Business Administration, or related field preferred.
- Certifications: CPP (Certified Payroll Professional) or CEBS (Certified Employee Benefit Specialist) highly desirable.
Skills & Competencies
- Technical Proficiency: Deep expertise with HRIS and Payroll software (e.g., ADP Workforce Now, Paylocity, Paycom, or Workday).
- Excel Skills: Advanced proficiency in Microsoft Excel (VLOOKUP, Pivot Tables) is required for reporting and auditing.
- Knowledge Base: Strong working knowledge of federal and state regulations, including ERISA, ACA, FLSA, FMLA, and COBRA.
- Soft Skills: exceptional attention to detail, high level of confidentiality, and the ability to explain complex tax/benefit concepts to employees clearly.
