POSITION SUMMARY

This position oversees the delivery of services, including clinician management, oversight and partial delivery of case management, and support for efficient revenue cycle management.

The Clinical Manager will oversee the clinical operations of HelloHero’s services delivered in person and virtually. This position includes oversight and management of multidisciplinary services, clinician management, patient support services, and case management to students and families through partner school districts.

This newly created managerial role is intended to cohesively manage our newly launched in-person along with the virtual services.




KEY RESPONSIBILITIES

Internal Practice Policies & Procedures

  • Ensure strict adherence to all internal policies, procedures, and applicable state and federal regulations, maintaining full compliance with Medicaid and behavioral health standards.

  • Develop, update, and implement policies and procedures as needed to enhance program efficiency, improve patient outcomes, and support sustainable organizational growth.

 

Clinical Quality Oversight & Supervision

  • Monitor patient progress and treatment outcomes, ensuring services are aligned with individualized care plans and program goals.
  • Provide clinical supervision for dependent clinicians (e.g., LPCs, LSWs, trainees) in accordance with Ohio licensure board and Medicaid requirements.
  • Support clinicians with case consultation, crisis intervention planning, and professional development.

 

Supporting Efficient Revenue Cycle Management

  • Oversee quality of clinical documentation and case notes, enforcing standards and protocols that support accurate Medicaid billing and revenue cycle management (RCM).
  • Provide proactive feedback to clinicians to maintain compliance with documentation, coding, and billing requirements.
  • Partnering with billing to establish and optimize efficient processes and procedures to collection of consent and health insurance information.



Building a Culture of Connection and Support and Supervision

  • Foster a collaborative community among clinicians through chat groups and peer-support channels.
    Design simple, engaging learning opportunities to encourage continuous development and knowledge sharing.
  • Assess clinician needs regularly to identify skill gaps and determine targeted training areas for improved care delivery.
  • Review case notes to ensure insurance compliance regulations.
  • Provide guidance and support for individual cases on a need basis. 

 

 

Care Coordination & Operations

  • Management and Optimal utilization of clinician schedules
  • Planning needed clinicians for anticipated patient volumes. 
  • Staff Planning to ensure adequate coverage for schools and optimal caseload distribution.
  • Monitor and address no-show appointments, filling open slots to maximize service delivery.
  • Oversee and coordinate communication with administrators and families to ensure effective delivery of student services and timely program updates.



Direct Client Care

  • Deliver Community Psychiatric Supportive Treatment (CPST) services (H0036) to students and families.

  • Provide case management services (T1016) to support clients’ access to resources, care coordination, and treatment goals.

Compliance & Reporting

  • Ensure program adherence to Medicaid, Commercial Insurance, OhMHAS, HIPAA, and state regulations related to mental health service delivery.
  • Maintain accurate service and billing records.
  • Track and report key program metrics to leadership.






QUALIFICATIONS

Education & Licensure

  • Independent license in Ohio (LISW, LPCC, LMFT, or Psychologist) required.
  • Eligible to provide clinical supervision in Ohio (e.g., LISW-S, LPCC-S).

Experience Required

  • Minimum 3+ years of clinical experience managing 10+ clinicians 
    • Managing clinicians within CBHS, CCBHC, RTS (specific to behavioral health and non-physician services)
    • delivering multidisciplinary services across a variety of therapy modalities, medication management, partnering with physicians, and related treatment services.
  • Extensive knowledge of Medicaid billing requirements, case management, and CPST services and codes.
  • Experience managing and overseeing virtual and in person programs
  • Prior experience providing clinical supervision to dependent providers.

Additional Information

  • This is a full-time remote position, with occasional in-person meetings for school district coordination.
  • Salary range - $85k-$115K plus benefits depending on experience.
