Hey Lieu is seeking a Virtual Accounting Assistant to support one of our U.S.-based clients in the construction services sector. This fully remote role is based in the Philippines and requires a professional with excellent analytical skills, strong attention to detail, and a willingness to learn U.S. payroll and accounting practices.


Key Responsibilities

  • Payroll Administration
    • Assist in processing weekly or bi-weekly payroll for U.S.-based staff.
    • Coordinate with internal stakeholders to ensure timesheets, hours, and deductions are accurately captured.
    • Learn and apply relevant state and federal payroll regulations.
  • Bookkeeping & General Accounting
    • Manage day-to-day financial transactions, including Accounts Payable (AP) and Accounts Receivable (AR).
    • Post and reconcile journal entries within accounting software.
    • Perform monthly and year-end close processes, verifying financial data for accuracy and completeness.
  • Job Costing & Expense Tracking
    • Work closely with project managers or supervisors to track project costs, assign expenses correctly, and monitor budget variances.
    • Maintain organized records for different jobs or projects, ensuring accurate revenue and cost attribution.
  • Data Analysis & Reporting
    • Prepare regular financial reports (e.g., balance sheets, income statements, cash flow statements) for leadership review.
    • Utilize Microsoft Excel extensively (pivot tables, VLOOKUP, SUMIF, etc.) to analyze large data sets and generate insights.
  • Process Improvement
    • Identify and recommend enhancements to accounting workflows, helping the team operate more efficiently.
    • Collaborate with leadership on special projects related to financial analysis or operational improvements.
  • Communication & Collaboration
    • Provide timely updates to management and respond promptly to inquiries regarding payroll, bookkeeping, and financial data.
    • Coordinate with cross-functional teams (e.g., HR, operations) to gather necessary information and ensure smooth workflows.

Qualifications

  • Education: Bachelor’s degree in Accounting, Finance, Business, or a related field.
  • Experience:
    • 2+ years in accounting, bookkeeping, or related roles (exposure to U.S. accounting/payroll is a plus).
    • Familiarity with construction or project-based accounting is highly desirable.
  • Technical Skills:
    • Proficiency in Microsoft Excel (pivot tables, VLOOKUP, SUMIF, data analysis).
    • Experience with accounting software (e.g., QuickBooks or similar) preferred; willingness to learn is essential.
  • Soft Skills:
    • Strong attention to detail, accuracy, and organizational abilities.
    • Excellent written and verbal English communication skills.
    • Ability to adapt to new processes quickly and thrive under minimal supervision.
  • Availability:
    • Comfortable working remotely with reliable internet and a professional home-office setup.
    • Flexibility to align work hours partly with U.S. business hours (as needed).
