About the Role

We are seeking a high-level Executive Assistant with advanced spreadsheet and analytical expertise to provide direct support to executives. This role is ideal for someone who not only manages administrative responsibilities but also builds powerful tools, reports, and trackers that drive business decisions.

Experience:
The ideal candidate has 3+ years of experience supporting executives or leadership teams, handling complex reporting, analysis, and process documentation. Prior experience creating and maintaining operational dashboards or performance reports is highly preferred.

Skills:
Must be a true spreadsheet expert — fluent in advanced formulas, pivot tables, data visualization, VLOOKUP/XLOOKUP, conditional logic, and automation across Excel and Google Sheets.
Strong written communication and documentation skills are essential, along with the ability to create, update, and refine SOPs and process maps. Experience in travel coordination, scheduling, and vendor correspondence is a plus.

Availability:
Full-time, night shift (US hours). Must be highly responsive and proactive in supporting executive priorities. This is a long-term position with growth potential based on performance.


Key Responsibilities

  • Provide high-level executive and analytical support on daily operations and special initiatives.
  • Build, update, and maintain sophisticated Excel/Google Sheet trackers, reports, and dashboards.
  • Generate actionable insights through data interpretation and visualization.
  • Draft professional correspondence, summaries, and internal reports.
  • Write and maintain SOPs, process documentation, and workflow improvements.
  • Coordinate travel, calendar, and event logistics with attention to detail.
  • Track deliverables, follow up on action items, and anticipate next steps for executives.
  • Manage sensitive information with discretion and professionalism.

Ideal Candidate Profile

  • Expert-level Excel and Google Sheets user (pivot tables, macros, dashboards).
  • Exceptional attention to detail and ability to verify accuracy before presentation.
  • Capable of working independently and proactively with minimal supervision.
  • Strong communicator with excellent written and organizational skills.
  • Analytical thinker who can forecast needs, solve problems, and anticipate executive requirements.
  • Comfortable balancing multiple high-priority tasks in a fast-paced environment.
