Role Overview
We are seeking a highly organized and proactive Bilingual Executive Assistant to provide comprehensive support to executives and leadership teams. The ideal candidate is detail-oriented, resourceful, and fluent in English and Spanish, with strong communication skills and the ability to manage sensitive information in a fast-paced remote work environment.
Key Responsibilities
- Executive Support: Manage calendars, coordinate meetings, and handle email correspondence on behalf of executives.
- Travel & Scheduling: Organize travel itineraries, book accommodations, and ensure smooth scheduling.
- Project Coordination: Track executive projects, prepare reports, and manage deadlines.
- Communication Management: Draft, proofread, and translate correspondence in both English and Spanish.
- Documentation & Data Management: Maintain organized records, prepare presentations, and manage confidential information.
- Meeting Preparation: Prepare agendas, take detailed minutes, and follow up on action items.
- Ad Hoc Support: Assist executives with personal and professional administrative needs as required.
Requirements
- Experience: At least 2 years as an Executive Assistant, Virtual Assistant, or in a similar support role.
- Bilingual Proficiency: Strong written and verbal communication skills in English and Spanish.
- Tech Skills: Proficient in Google Workspace, Microsoft Office Suite, and project management tools (e.g., ClickUp, Asana, Trello).
- Professionalism: Ability to handle confidential information with discretion and integrity.
- Organization: Exceptional time management, prioritization, and multitasking abilities.
- Availability: Must be able to work during US business hours.
- Work Setup: Reliable internet connection and a quiet, professional workspace.
Preferred Qualifications
- Experience supporting C-level executives or senior leadership.
- Familiarity with CRMs such as HubSpot or Salesforce.
- Strong skills in preparing professional reports and executive presentations.
- Experience with virtual conferencing tools like Zoom and Google Meet.
