General Job Description:
Supports the negotiations team by handling client communications, gathering essential financial information, and managing administrative tasks to streamline processes. Provides technical assistance to team members, ensuring smooth operations during negotiations and addressing any issues promptly. This role requires excellent organizational skills, attention to detail, and the ability to effectively prioritize tasks in a dynamic environment.

The negotiation administrative assistant is crucial to the firm's mission of helping clients achieve financial relief. By ensuring the accurate collection and organization of client financial information, they support the negotiations team in presenting strong cases to creditors. Their efficiency in handling administrative tasks and technical support allows the team to focus on achieving favorable settlements for clients, ultimately contributing to the firm's goal of providing effective debt resolution.
Supervisor: Lead Negotiations Admin Assistant– Melissa Stokes
Classification: Non-exempt
Key Specific Duties:
• Organize, maintain, and update electronic files and records related to client cases, ensuring easy access for the negotiations team. 
• Handle and coordinate the delegation of incoming and outgoing communications on behalf of the negotiations team—including emails and phone calls—to keep clients informed of case developments. 
• Assist in preparing reports, presentations, and other documents required for negotiations, ensuring accuracy and professionalism in all materials. 
• Coordinate with paralegals and attorneys while working on settling a case. 
• Track pending client requests or documents, following up as necessary to ensure deadlines are met and the team has the information needed to proceed with negotiations. 
• Monitor and confirm settlement payments by utilizing vendor CRMs to ensure payments are scheduled and processed according to settlement agreements, promptly addressing any discrepancies.
