Base Salary Range: $75,000 - $110,000
Anticipated Start Date: Late February – Early March 2025
Location: On-site in Emeryville, CA

About the Role
We are seeking an exceptionally organized and efficient Executive Assistant to support the Office of the CEO. This role focuses on the core pillars of executive support: calendar management, email triage, meeting preparation, comprehensive notetaking, travel coordination, and expense management. The ideal candidate thrives on creating order from chaos, takes pride in flawless execution of administrative tasks, and has a strategic mindset for time management and prioritization.
Key Responsibilities
- Drive sophisticated calendar management: optimize the CEO's time through strategic scheduling, proactive calendar conflict resolution, and thoughtful time blocking
- Manage email communications with precision: triage incoming messages, draft responses, and ensure timely follow-up on critical items
- Execute comprehensive meeting support: prepare materials, take detailed notes, and track action items with meticulous attention to detail
- Handle all aspects of travel planning: coordinate complex itineraries, manage logistics, and anticipate potential issues
- Process expense reports and manage receipts with accuracy and timeliness
- Create and maintain efficient systems for document management and information retrieval
- Support special projects and initiatives for the CEO, Chief of Staff, and executive team
Technical Qualifications
- 4+ years of relevant administrative support experience
- Experience as an Executive Assistant supporting C-level executives in fast-paced environments preferred
- Expert proficiency in calendar management, email systems, and standard productivity tools
- Familiarity and comfortability working within the Microsoft 365 ecosystem
- Strong technical aptitude with ability to optimize processes and systems
- Proven track record of creating and maintaining organizational systems
