About the role
We are seeking a highly organized and proactive Assistant to the executive team: Chief Operating Officer (COO) and Chief Executive Officer (CEO) in overseeing key operational areas, including HR, payroll, accounting, finance, marketing, and general operations. This role requires exceptional multitasking abilities, attention to detail, and the ability to work in a fast-paced software development environment. The Assistant will play a critical role in ensuring smooth day-to-day operations and supporting strategic initiatives.
What you'll do
Executive Support
• Prepare reports, presentations, and documents for internal and external stakeholders.
• Assist with correspondence, emails, and communications on behalf of the COO/CEO.
• Coordinate and follow up on action items from meetings and company initiatives.
HR & Payroll Support
• Assist with onboarding and offboarding employees, including paperwork and scheduling.
• Help maintain HR records, policies, and compliance documentation.
• Coordinate payroll processing and ensure timely submissions.
• Support employee engagement activities and internal communication efforts.
Accounting & Finance Support
• Assist in financial data entry, invoice processing, and expense tracking.
• Help prepare financial reports and coordinate with accounting teams.
• Manage budget tracking and financial document organization.
• Support financial audits and compliance initiatives as needed.
Marketing & Operations Support
• Assist in coordinating marketing campaigns, events, and social media activities.
• Help track key operational metrics and report insights to the COO.
• Liaise with vendors, suppliers, and service providers for operational needs.
• Support internal process improvements and documentation efforts.
Qualifications
• Bachelor’s degree in Business Administration, Finance, HR, or a related field preferred.
• Experience with CRMs, social media, marketing campaigns, metrics reporting
• 3+ years of experience in an executive assistant, operations, or administrative role.
• Strong organizational, communication, and problem-solving skills.
• Proficiency in Microsoft Office, Google Workspace, and Quickbooks.
• Ability to handle confidential information with discretion.
• Experience in software development or tech companies is a plus.
The pay range for this role is:
20 - 25 USD per hour (Headquarters)
