Overall tasks:
- Handle ad hoc and fast-turn artwork requests with accuracy, urgency, and strong attention to detail.
- Reach out to account manager with any blockers or queries.
- Perform QA checks on file formats, dimensions, metadata, naming conventions, and overall readiness before delivery.
- Interpret platform-specific specs across partners (Amazon, Hulu, Disney, Peacock, Wonder, etc.) and identify any inconsistencies or missing information.
- Maintain organized tracking of all requests, timelines, and updates within Salesforce and other internal systems.
Extras:
- Dipping our toes in production by taking on New Media JPG exports. Any JPG spec requests where we already have a PSD or other format available, exporting as a JPG and reuploading to Passport.
- This will be tracked and intend to rethink if the numbers get too high.
- Comparing partner specs. Ex, seeing if an asset created for Disney would work within Amazon safeties as well
Idea for team setup:
Caroline’s Role (Project Lead / Client-Facing Owner)
- Manage intake, scoping, and prioritization of all artwork and asset requests.
- Own all communication with high-touch clients and determine when clarification or approvals are needed.
- Set timelines, assign tasks, and ensure cross-team alignment.
- Address any spec questions or partner discrepancies surfaced during production.
- Provide final QA sign-off on file formats, dimensions, metadata, naming, and overall delivery readiness.
Junior Role (Execution & Production Support)
- Handle the majority of hands-on production tasks, including artwork exports, uploads, metadata updates, and delivery prep.
- Perform first-pass QA checks on file formats, naming conventions, dimensions, and metadata accuracy.
- Compare partner specs (e.g., Disney vs. Amazon) and flag inconsistencies or missing information.
- Complete JPG exports for New Media and reupload assets into Passport.
- Maintain Salesforce entries and internal tracking of all requests, timelines, and updates.
- Troubleshoot internally and escalate any unclear items for me to follow up on with clients or agencies.
Overall Structure
- I remain the primary point of contact for clients to ensure consistent, high-quality engagement.
- The junior team member gains hands-on ownership of production tasks in a structured workflow with guidance and QA support.
