Job Description
We are seeking a skilled, dependable, and service-oriented IT Operations Assistant to support day-to-day technology operations across ICO and its affiliated organizations. This role provides hands-on technical support, device and account management, and systems administration under the direction of the IT Operations Manager, with strategic escalation to the CEO as needed.
The ideal candidate is detail-oriented, security-minded, and comfortable supporting staff across multiple platforms and environments while following established IT standards, documentation, and compliance requirements.
Responsibilities
IT Operations & Systems Support
- Assist with administration of Google Workspace, including user lifecycle management, groups, permissions, and basic security configurations.
- Support domain and DNS management, authentication controls, and email routing configurations under approved procedures.
- Enroll, configure, and support devices using IBM MaaS360 (or equivalent MDM/EMM) for iOS, macOS, and Windows environments.
- Provide hands-on technical support for laptops, desktops, tablets, phones, printers, smart TVs, and related equipment.
- Troubleshoot hardware, software, system, and application issues; escalate complex or high-risk issues appropriately.
Security, Compliance & Data Integrity
- Support IT security practices including password policies, access control, endpoint protection, device compliance, and incident reporting.
- Follow protocols supporting compliance with HIPAA, Title 17/22, DDS, HCBS, CACFP, and related regulatory or security frameworks as applicable to end-user systems.
- Maintain confidentiality of all sensitive, protected, or proprietary information.
Inventory, Documentation & Reporting
- Maintain accurate hardware, software, and license inventories, including asset tracking and lifecycle management.
- Use Confluence, Jira, and Google Sheets to document procedures, track tickets, maintain logs, and support audits or compliance checks.
- Utilize SQL and structured data tools to support reporting, audits, and internal system checks as assigned.
Onboarding, Off boarding & User Support
- Support employee onboarding and offboarding, including account creation, device setup, permissions management, and secure device return or wiping.
- Respond to staff support requests in a timely, professional, and solution-oriented manner.
Collaboration & Continuous Improvement
- Work closely with the Technology Operations Director to execute approved changes and improvements.
- Identify recurring issues, process gaps, or opportunities for improvement and propose solutions.
- Maintain clear communication and responsiveness during scheduled work hours.
Requirements
- 1–2 years of experience administering Google Workspace in a small-to-medium organization
- 1–2 years of experience with IBM MaaS360 or similar MDM/EMM platforms
- Experience supporting macOS, Windows, and iOS environments
- Working knowledge of domain management, DNS, and authentication protocols
- Understanding of IT security principles, access control, and data protection
- Experience with SQL, databases, or structured data management
- Background in IT inventory and asset management
- Familiarity with Confluence, Jira, and advanced spreadsheet tools
- Strong troubleshooting, documentation, and communication skills
- Ability to work independently, prioritize tasks, and maintain confidentiality
- Valid driver’s license and acceptable driving record per organization policy
- Ability to pass fingerprinting clearance, TB screening, and required health checks
Reporting Relationship
Reports to: IT Operations Manager & Chief Executive Officer (CEO)
Job Type
Part-Time (Non-Exempt)
Standard schedule: Monday through Friday, approximately 25 hours per week
Additional hours require pre-approval and are compensated in accordance with California labor law.
