As we expand our impact, we are seeking an RFP & Proposal Manager to play a pivotal role in shaping and delivering compelling proposals that communicate our expertise and value to clients across industries, including entertainment, luxury goods, pharmaceuticals, and technology.


Overview of the Role:

The RFP & Proposal Manager at IP House will be responsible for overseeing the development and delivery of high-quality proposals in response to Requests for Proposals (RFPs). This role requires a strategic thinker with a strong background in writing, content management, and project coordination who can ensure consistency with IP House’s brand messaging while collaborating with subject matter experts across our global team to produce winning proposals.


Essential Duties and Responsibilities:


RFP Analysis & Proposal Strategy

  • Analyze Requests for Proposals (RFPs) and client inquiries to identify key requirements and develop a strategic response that aligns with IP House’s strengths.
  • Ensure proposals address the unique challenges of IP enforcement, brand protection, and anti-counterfeiting measures.

Proposal Writing & Editing

  • Lead the drafting, editing, and refinement of proposals, ensuring clarity, conciseness, and a compelling narrative that highlights IP House’s unique value proposition.
  • Tailor proposals to client needs, showcasing IP House’s investigative methodologies, proprietary intelligence tools, and enforcement strategies.

Content Strategy & Development

  • Develop and maintain a proposal content library, including standardized templates, case studies, success stories, and key data points relevant to IP House’s global IP enforcement work.
  • Ensure all content aligns with IP House’s brand, tone, and strategic messaging.

Collaboration with Subject Matter Experts (SMEs)

  • Work closely with investigators, analysts, legal experts, and business development teams to gather technical information and craft engaging proposals that accurately represent our capabilities.
  • Translate complex investigative and legal concepts into clear, impactful language for potential clients.

Proposal Management & Coordination

  • Manage multiple proposals simultaneously, assigning tasks to contributors, setting deadlines, and ensuring timely submission.
  • Oversee the structure and design of proposals, working with designers when necessary to enhance presentation quality.
  • Track proposal success rates and continuously refine processes to improve efficiency and win rates.

Quality Assurance & Continuous Improvement

  • Implement rigorous quality control measures to ensure all proposals are error-free and compliant with IP House’s standards.
  • Identify opportunities to streamline the proposal development process and enhance the effectiveness of IP House’s business development efforts.


What You’ll Bring:


Education & Qualifications:

  • Bachelor’s degree preferred in English, Communications, Business, or a related field.
  • Equivalent experience in proposal management, technical writing, or business development will be considered in place of a degree.
  • Professional certifications in proposal writing, business development, or project management (e.g., APMP, PMP) are a plus.

Experience:

  • Proven experience in a proposal management role, preferably in investigations, legal services, consulting, or a related field.
  • Expertise in proposal writing tools and content management systems.
  • Demonstrated success in securing contracts and delivering well-structured, results-driven proposals.

  • Exceptional Writing & Editing – Ability to craft clear, concise, and compelling content that effectively communicates IP House’s expertise.
  • Advanced skills in proposal design – across presentations & word documents,
  • Project Management – Proven ability to manage multiple proposals, meet deadlines, and oversee a structured proposal process.
  • Collaboration & Stakeholder Management – Strong interpersonal skills to work cross-functionally with investigators, legal teams, and business development professionals.
  • Analytical Thinking – Ability to analyze RFPs, extract key insights, and craft targeted proposal responses.
  • Technical & Industry Knowledge – Understanding of intellectual property protection, enforcement strategies, and investigative methodologies.
  • Brand Awareness – Deep understanding of IP House’s mission, positioning, and messaging to ensure consistency across all proposals.
