Position Summary:

The Programs & Events Coordinator at JMARK will play a crucial role in the planning and execution of various client, prospect, and some team events, as well as ensuring smooth logistics for tradeshows, video and podcast productions, and internal events. This position requires a highly organized individual with excellent communication skills and a passion for creating memorable experiences. Duties and Responsibilities:
  • Event Planning & Execution:
    • Coordinate and manage all aspects of client and prospect events, including venue selection, vendor negotiations, strategy and ideation, and on-site logistics.
    • Oversee tradeshow logistics, including booth setup, engagement tactics, travel details, staffing, and promotional materials.
    • Plan and coordinate video and podcast shoots, ensuring all technical and logistical details are handled for host and guests.
    • Source new events and tradeshows that align with our brand and target audiences.
  • Vendor & Venue Coordination:
    • Develop and maintain relationships with various vendors, venues, associations, and partners.
    • Schedule and confirm locations and arrange for food, beverages, equipment, and other logistical requirements.
    • Negotiate contracts and ensure all deliverables are met within budget.
    • Performs site visits and tours when necessary to ensure venues align with JMARK standards and the goal of the event.
  • Internal Event Coordination:
    • Assist with the planning and execution of internal company events, ensuring all details are communicated and executed smoothly.
    • Assist and/or lead communication and coordination with others within JMARK to ensure all parties are properly informed. 
    • Manage marketing inventory, ensuring all promotional materials are available and up to date.
  • Content Ideation & Marketing Strategy:
    • Collaborate with the marketing team to ideate and strategize topics for presentations, trainings, and other content.
    • Work with the marketing team to develop event promotion strategies, including social media campaigns, email marketing, and other promotional activities.
    • Create and facilitate processes for attending community and client events and communicating details to attendees.
  • Logistics & Budget Management:
    • Develop detailed event plans, timelines, and checklists to ensure all aspects of events are covered.
    • Oversee the registration process, including the creation and management of online registration forms and attendee databases.
    • Handle all travel and accommodation arrangements for event participants and Team.
    • Develop and manage event budgets, ensuring all expenses are tracked and reported accurately.
  • Communication & Collaboration:
    • Provide excellent customer service to attendees, addressing any inquiries and ensure a positive experience.
    • Communicate effectively with internal teams, clients, and external partners to ensure successful event execution. 
    • Provide regular updates on event progress and post-event reports to measure success and identify areas for improvement.
    • Collaborate, engage, and contribute as an active member of the JMARK Growth Team consisting of Marketing, New Business Development, and Growth Ops.
    • Participate in team meetings, offsite team retreats, and other collaboration opportunities on Growth Team initiatives.
Skills and Qualifications:
  • Bachelor’s degree in Event Management, Marketing, Communications, or a related field – or equivalent experience. 
  • Minimum of 2 years of experience in event planning and coordination.
  • Excellent organizational skills and attention to detail. 
    • Project Management Experience is a bonus. 
  • Strong communication and negotiation skills.
  • Ability to manage multiple projects simultaneously and work under tight deadlines.
  • Proficiency in Microsoft Office Suite.
  • Creative thinker with the ability to develop innovative event ideas.
  • Ability to work independently and as part of a team.
  • Willingness to travel and attend events and facilitate conversation with attendees as needed.
 Licenses & Registrations:
  • Valid driver's license
  • Proof of vehicle insurance 
  • Reliable and suitable transportation that can be used as required to perform duties, if needed.
