Position Summary

Kellen's Associate Account Executive (AAE), Association Management is a client-service role responsible for supporting the successful management of assigned client organizations through operational coordination, project execution, and exceptional member and volunteer service. Reporting to the Group Vice President, the AAE assists senior client-service leaders with board support, membership programs, communications, conferences and meetings, financial administration, and day-to-day client operations.

The AAE partners with volunteer leaders, client stakeholders, and internal teams to ensure organizational priorities are executed efficiently while delivering responsive, high-quality service. This role develops a strong foundation in association management by coordinating multiple projects, supporting governance activities, and contributing to successful client outcomes.

The AAE also contributes to Kellen's continued success by building strong client relationships, identifying opportunities to improve operational effectiveness, supporting member engagement, and demonstrating professionalism in every client interaction.

Essential Functions

1. Board and Committee Support

The Associate Account Executive supports volunteer leadership by coordinating board and committee activities while assisting senior client-service staff with governance responsibilities.

  • Supports Senior Account Executives, Account Executives, Vice Presidents, and Senior Vice Presidents in providing staff support to boards of directors, committees, and task forces.
  • Assists with preparing meeting agendas, minutes, notices, supporting materials, and follow-up communications.
  • Coordinates committee schedules, meeting logistics, and project timelines.
  • Interfaces with committee members, volunteers, and client stakeholders through phone, email, and in-person communication.
  • May facilitate committee meetings and assist with implementing committee decisions as appropriate.
  • Maintains accurate records and documentation to support effective governance practices.


2. Member Programs and Client Support

The Associate Account Executive supports membership initiatives and client programs that strengthen organizational performance and member engagement.

  • Assists with implementing membership recruitment, retention, and engagement programs.
  • Supports the development of new programs, services, and member benefits that respond to evolving member needs.
  • Assists in developing member communications in partnership with senior client-service staff.
  • Coordinates client communications and member outreach activities.
  • Provides responsive customer service to members, volunteers, and client stakeholders.
  • Supports additional client initiatives that advance organizational goals and member value.


3. Conference, Meeting, and Event Management

The Associate Account Executive assists with planning and coordinating meetings, conferences, and educational programs that support client objectives.

  • Assists with coordinating conferences, board meetings, committee meetings, registrations, and special events.
  • Supports implementation of detailed event project plans and timelines.
  • Coordinates logistics, speakers, vendors, marketing activities, and onsite meeting support.
  • Creates and distributes event communications and meeting materials.
  • Assists with registration management and attendee communications.
  • Supports successful execution of meetings while ensuring a positive participant experience.


4. Financial and Operational Support

The Associate Account Executive provides administrative and operational support that contributes to sound financial management and efficient client operations.

  • Assists with monitoring compliance with client contracts and supports contract renewal activities.
  • Helps monitor budgets, expenditures, and financial reports to support responsible fiscal management.
  • Identifies opportunities to improve processes and contribute to cost containment efforts.
  • Assists with maintaining operational calendars, project timelines, and organizational records.
  • Coordinates office logistics, meeting room arrangements, catering, and office supply inventory as needed.
  • Supports day-to-day operational activities that contribute to successful client service.


5. Professional Development and Organizational Contribution

The Associate Account Executive contributes to Kellen's continued success by supporting organizational initiatives while developing professional knowledge and association management expertise.

  • Builds positive working relationships with members, volunteers, client leaders, and colleagues.
  • Demonstrates professionalism, responsiveness, and strong customer service in all interactions.
  • Shares ideas that improve client service, operational efficiency, and team effectiveness.
  • Pursues ongoing professional development to strengthen association management knowledge and client-service skills.
  • Supports organizational initiatives and special projects as assigned.

Qualifications

  • Bachelor's degree in business administration, marketing, communication, human resources, ‎finance, or other related discipline preferred.‎
  • ‎2 to 4 years’ experience in similar capacity. Association or non-profit management desired.‎
  • Polished communication skills, both written and verbal, and interpersonal skills, including ‎conflict resolution.‎
  • Strong computer skills with proficiency in spreadsheet, word-processing, database, and ‎presentation software applications. Experience with associate management software desired ‎along with the ability to learn new software packages.‎
  • Ability to interface with executive leadership, establish credibility and build effective ‎relationships.‎
  • Strong customer service orientation and the ability to interact effectively with staff at all levels ‎of the organization.‎
  • Effective planning and organization skills to effectively manage multiple client ‎relationships/associations at any given time. Reliability to maintain established schedule, ‎manage time and priorities, and meet commitments and deadlines.‎
  • Creative and strategic thinker with the ability to set priorities based on customer needs and ‎organizational priorities and preferences and develop solutions to client challenges.‎

  • Hybrid Work Environment: All employees located within commuting distance of one of Kellen’s offices are required to go in on Tuesdays, Wednesdays, and Thursdays. Flexibility in going into the office additional days may be necessary
  • Extended Work Hours: The nature of this role may require more than 40 hours per week to fulfill job responsibilities. Additionally, flexibility in working nights and weekends may be necessary. Longer hours, travel, and weekend commitments are typically associated with conferences or special events.
  • Office Equipment Usage: The role routinely involves the use of standard office equipment, including but not limited to computers, telephones, photocopiers, filing cabinets, and fax machines.

The pay range for this role is:

60,000 - 65,000 USD per year (HQ)
